Job Summary
The Office Services Specialist provides comprehensive onsite support for mailroom, print center, office logistics, and general office service operations. The role is responsible for the accurate and secure handling of mail and packages, print production, office equipment support, supply management, conference room setup, and offsite marketing event support. The ideal candidate is organized, detail-oriented, customer-focused, and flexible in supporting daily operational needs.
Key Responsibilities
  • Receive, sort, distribute, prepare, and ship incoming and outgoing mail and packages.
  • Process large and special mailings, including mail-merge services and inserting/folding equipment.
  • Track deliveries using carrier and internal systems, including UPS, FedEx, and USPS.
  • Operate high-volume printers, copiers, and finishing equipment to fulfill print requests.
  • Use Fiery or comparable print production software and perform basic equipment troubleshooting and maintenance.
  • Maintain inventory of paper, toner, staples, and other print and office supplies.
  • Coordinate with external vendors for maintenance, emergency, and overflow print services.
  • Open, update, and close equipment service tickets using systems such as ServiceNow.
  • Assist with conference room setup, furniture arrangements, AV equipment, and basic AV troubleshooting.
  • Fulfill departmental requests for office supplies, printed materials, and display setups.
  • Transport mail, materials, and packages between company sites and offsite locations using company vehicles.
  • Support offsite Marketing events by transporting, setting up, and breaking down displays, signage, and promotional materials.
  • Assist with office and departmental moves, including disconnecting, moving, and reconnecting PCs and peripherals.
  • Verify shipments against packing slips or purchase orders and submit required documentation for inventory updates.
  • Support warehouse activities, including inventory counts and material handling.
  • Maintain confidentiality and comply with HIPAA and other applicable regulations.
  • Follow workplace safety procedures and maintain clean, organized, and hazard-free work areas.
  • Assist with reporting, tracking, process improvement, and coverage for team members as needed.

Qualifications
Required
  • High School Diploma or equivalent.
  • Minimum of 1 year of clerical and/or mailroom experience.
  • Proficiency with Microsoft Word, Excel, and Adobe Acrobat.
  • Strong organizational, time management, multitasking, and attention-to-detail skills.
  • Excellent verbal and written communication skills with a strong customer service focus.
  • Ability to lift and move objects weighing up to 50 pounds.
  • Valid Michigan driver's license and safe driving record.
  • Valid forklift operator license.

Preferred Qualifications
  • Two years of print experience.
  • Associate degree.

Required Certification & Licensure
  • Valid Michigan Driver's License.
  • Valid Forklift Operator License.

Working Conditions
Position may be based in a hospital or ambulatory/mobile imaging setting. Exposure to radiation, high-voltage equipment, and infectious diseases is possible with appropriate safety precautions. Position may require assisting with patient transfers and moving equipment.
