Job description

Warehouse/Logistics Administrative Assistant will assist and support the Warehouse Manager with various
administrative tasks. The individual will create POs, oversees shipping logistics, Sales Force update and organize
all job folders. The individual will be responsible for learning the business and eventually, grow and expand to
become backup when Warehouse Manager is out.

Roles & Responsibilities:
• Ability to place orders, crating schedule, inventory location
• Maintain “logging out systems” to understand and keep track of what leaves facility
• Create and understand trucking and Fed-Ex schedule
• Understand overall shipping logistics
• Understand all projects and how they get processed
• Notify necessary staff of updates regarding schedule
• Rigging and trucking quotes placed in job folder
• Understand and be able to converse on all system components
• Send all kick off & update emails to the PMs
• Send emails to the teams with de-install info. (site contacts, dates, addresses, etc.)
• Request quote & schedule all trucks for de-installs/installs
• Schedule all dollies for de-installs/relos
• Schedule all ramp supply deliveries de-install/installs
• Input info into SalesForce – (de-install date, tasks, inventory, warehouse locations, expenses, etc.)
• All PO’s related to: trucking, rigging, de-install if subbed out etc.
• Creating work orders for De-Installs/Installs
• ISO documentation (uploading to the DMS): incoming equipment deliveries, maintenance of compressors,
trucks, chillers, etc.
• ISO approved vendor paperwork for new vendors
• Printing and labeling systems as they come in (sold labels included)
• Any other duties as assigned per manager

Education
Required
• High School Diploma or equivalent
Preferred
• Some college desired

Experience
• Working knowledge of Word, Excel, and Lotus Notes preferred
• Fishbowl and Salesforce preferred but will train
Travel
• Valid driver’s license and solid driving record for a minimum of five years REQUIRED
• Must have reliable transportation and proof of auto insurance
• Willing and able to undertake after-hours travel to carrier offices, drop-boxes, and airports
Competencies
• Ability to Multi-task
• Excellent verbal and written communication skills
• Strong interpersonal and communication skills; experience in effectively communicating and the ability
to act decisively to resolve problems
Physical Requirements
While performing the duties of this job, the individual is regularly required to use hands to finger, handle, or
feel. The individual frequently is required to stand, walk, sit, reach with hands and arms, and talk or hear. The
individual is occasionally required to climb or balance, stoop, kneel, and crouch. The individual must
occasionally lift and/or move up to 25 lbs. Specific vision abilities required by this job include close vision,
distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
