SUBFUNCTION DEFINITION:

Join the HIM team at the nation’s top pediatric hospital and play a critical role in delivering world-class care! As part of our team, you'll prepare and process medical record requests (Release of Information - ROI) from patients, attorneys, insurance providers, and legal professionals, ensuring the production of accurate, valid, and HIPAA-compliant records. REPRESENTATIVE RESPONSIBILITIES

Customer Service

  • Assist CCHMC staff and customers with medical record requests.
  • Respond to telephone inquiries and status requests for the release of protected health information (PHI), adhering to HIPAA, CCHMC, and HIM department standards.
  • Prioritize information requests, troubleshoot issues, and escalate as needed.
  • Process first-level requests for patient information following HIPAA and HIM standards.
  • Research and update patient care teams in Epic, as appropriate.
  • Demonstrate flexibility in work assignments to meet customer needs and collaborate effectively with team members.

Quality Review

  • Perform quality reviews during the training phase for CDIT staff.
  • Maintain production and measurement statistics, consistently meeting department productivity and quality standards.
  • Ensure a neat, organized, safe, and accessible work environment that supports an effective and efficient workspace for employees, patients, and families.

Authorizations

  • Review, validate, and enter authorizations for the release of protected health information, ensuring HIPAA compliance.
  • Work with requestors (families, patients, providers, auditors, etc.) to facilitate request processing and provide timely feedback on request statuses.
  • Process routine or first-level disclosures of medical records to meet turnaround time goals (e.g., verifying discharge dates for insurance, releasing immunization records, uploading images to PACS, and burning CDs for internal/external customers).

Dictations

  • Monitor completion of dictations within CCHMC timelines and manage the Incomplete Operative Report Dictation List as per procedures.
  • Resolve physician suspension issues and support coding by addressing data integrity and other queries related to operative notes.
  • Provide technical and administrative support for other health information functions.
  • Monitor the fax server, research, and correct entries as needed.
  • Complete special projects as assigned.
  • Utilize electronic work lists and workflow reports to review and edit medical record transcription for accuracy, ensuring correct patient demographic information, physician signature deficiencies, and formatting in Quanum.

EDUCATION/EXPERIENCE


Required:
  • High school diploma or equivalent
  • 2 years of work experience in a related job discipline.
