Job description

Description
The PSD Sales Coordinator 2 is responsible for supporting purchasing, receiving and invoicing functions. Other functions include customer support, project support, freight support and various administrative duties to increase efficiencies and satisfy customer needs. Occasionally provides guidance, training, and mentoring for Sales Coordinators in absence of manager. 

The incumbent in this position is expected to model the following practices daily: 1) Demonstrate alignment with the company's mission and core business values; 2) Collaborate with key internal/external resources; 3) Participate in ongoing self-development

Essential Functions
  • Models, promotes, reinforces, and rewards the consistent use of HOLT’s Values Based Leadership (VBL) tools, models, and processes to ensure alignment with our Vision, Values, and Mission
  • Performs the some purchasing, receiving for CAT and non-CAT products and services for the Power Systems Division (PSD)
  • Assists in the invoicing of prime product for the department
  • Assists the PSD Sales Operations Manager in meeting and achieving the goals and objectives of the PSD sales department
  • Coordinates with the Caterpillar Factory Representatives and HOLT project engineering/management group on behalf of the department
  • Completes CAT engine ordering process which includes the tracking of orders and communicating with CAT Factory Representative regarding status of orders
  • Coordinates CAT Engine order acknowledgements with project engineering/ management groups to improve communication
  • Processes purchase orders, including tracking, coding, and submitting invoices for payment
  • Acts as a centralized point of contact for purchases on behalf of the Power Systems Division
  • Creates, updates, and maintains project job files and spreadsheets
  • Provides guidance for Sales Coordinator 1s to include training and mentoring 
  • Perform other related administrative duties as assigned by management
  • Requires regular and punctual employee attendance
  • Works safely always and adheres to all applicable safety policies; complies with all company policies, procedures, and standards 
  • Performs other related duties and fulfill responsibilities as required 

Knowledge, Skills, and Abilities
  • Knowledge of CAT engine and gensets in addition to other non-CAT related equipment
  • Intermediate computer and related software applications skills
  • Excellent interpersonal skills to establish working relationships with multiple departments and various levels of the organization, external CAT personnel, and vendors used by PSD
  • Demonstrated knowledge of invoicing, receiving, and basic business accounting principles 
  • Excellent oral and written communication skills 
  • Exceptional utilization of organizational planning, self-management, analytical problem solving, time management, and multi-tasking skills
  • Advanced Microsoft Office product skills (Word, Excel, PowerPoint, etc.)
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
  • Ability to interact with tact and courtesy and maintain a professional manner
  • Ability to read and understand information and ideas presented in writing
  • Ability to listen to and understand information and ideas presented through spoken words and sentences

Requirements
Education and Experience:
  • High school diploma or equivalent required 
  • More than two years of work-related skill, knowledge, or experience is required, three or more preferred
Supervisory Responsibilities:
None

Travel: 
  • Up to 5% of travel expected 
Physical Requirements:
  • This position involves extended periods in a stationary position; additionally, occasional movement inside the office to access office machinery, file cabinets, etc. 
  • This role frequently communicates with others, must be able to exchange accurate information in these situations
  • Occasionally moves materials or equipment weighing up to 10 lbs.
  • Constant movement and use of limbs; this position requires good manual dexterity, coordination, and stamina
  • Routinely reacts to visual, auditory, and other signals, including alarms and instructions, and is required to visually inspect work

Work Environment:
  • Regularly works indoors in environmentally controlled conditions
  • Regularly works outdoors around moving mechanical parts 
  • May be exposed to weather extremes conditions that include inclement weather, heat, cold, and humidity
  • Frequently works at fast pace with unscheduled interruptions
