We are a small manufacturing company looking for a bilingual Mandarin/English Administrative Assistant to support our factory owner and team.


This is a hands-on position that combines translation, administrative support, scheduling, organization, and general office assistance. The person in this role will serve as an important communication bridge between our Mandarin-speaking factory employees and English-speaking management, while also helping the owner stay organized and keep important tasks moving forward.


We are looking for someone who is organized, dependable, proactive, and comfortable taking initiative. This is a great opportunity for someone who enjoys a varied role and doesn't mind jumping in wherever help is needed.


Responsibilities

  • Translate conversations between Mandarin-speaking employees and English-speaking management
  • Help communicate instructions, questions, concerns, and other information between employees and management
  • Translate documents, emails, forms, and other written materials as needed
  • Organize and maintain paperwork, documents, and company records
  • Schedule meetings, appointments, and calls for the owner
  • Help manage the owner's calendar and follow up on appointments and commitments
  • Prepare documents, reports, forms, and correspondence
  • Assist with emails and general office communication
  • Keep track of deadlines, follow-ups, and important tasks
  • Help the owner organize and prioritize day-to-day responsibilities
  • Assist with communication and administrative needs within the factory
  • Help gather information from employees and communicate information back to management
  • Take on special projects and miscellaneous administrative tasks as needed
  • Identify tasks that need to be completed and take initiative to get them done


Qualifications

  • Fluent in Mandarin Chinese and English (speaking and writing)
  • Strong communication and interpersonal skills
  • Excellent organizational and time-management skills
  • Strong attention to detail
  • Comfortable communicating with both management and factory employees
  • Able to handle confidential and sensitive information professionally
  • Proficient with Microsoft Office and/or Google Workspace
  • Able to work independently and manage multiple priorities
  • Reliable, professional, and dependable
  • Comfortable working in a manufacturing/factory environment
  • Previous experience in administrative support, executive assistance, office management, translation/interpreting, or manufacturing is preferred


The ideal candidate will be someone who can become a trusted right hand to the owner.

You may spend part of your day translating a conversation with an employee, then organizing paperwork, scheduling a meeting, following up on an important task, or helping with an unexpected issue.

We are a small company, so we're looking for someone who is willing to wear multiple hats, take initiative, and help wherever needed. You don't need to be told about every task—you should be someone who notices what needs to be done and takes care of it.
