Mass General Brigham Medical Group is seeking a highly organized Staffing Coordinator to support our growing Express Care operations. This part-time role is ideal for a healthcare administrative professional who enjoys problem-solving, thrives in a fast-paced environment, and can confidently navigate staffing challenges as they arise.
In this position, you'll play a critical role in ensuring our Express Care centers are appropriately staffed by coordinating schedules, responding to call-outs, and partnering with operational leaders to address daily staffing needs.
We understand that flexibility matters. After an initial onsite training and mentorship period, this position will transition to a fully remote schedule, offering the opportunity to work from home while making a meaningful impact across our practices.
Schedule & Flexibility
• Part-time, 16-hrs a week
• Typical hours are 6:00 AM - 10:00 AM
• Rotating weekend coverage required
• Flexibility to adjust weekday hours based on staffing needs
• Begin with an onsite training and mentorship period in Somerville, MA, then transition to a fully remote schedule upon successful completion of training.
What You'll Do
• Serve as the primary point of contact for daily staffing and scheduling needs across our Express Care locations.
• Respond to employee call-outs and unexpected staffing gaps, coordinating coverage solutions in real time.
• Build, maintain, and adjust staff schedules to support operational needs and patient care demands.
• Collaborate closely with clinical and operational leaders to address staffing challenges and ensure appropriate coverage.
• Communicate schedule updates, staffing changes, and coverage needs in a timely and professional manner.
• Maintain accurate scheduling records and documentation.
• Utilize scheduling systems and workforce management tools to optimize staffing resources.
• Ensure scheduling practices align with organizational policies and applicable regulations.
• Enter and edit employee timecards to ensure payroll accuracy and finalize payroll each week.
• Support ongoing process improvements related to staffing and workforce planning.
Qualifications
Education
  • High School Diploma or equivalent required.
  • Associate's Degree in Healthcare Administration preferred, or Associate's Degree in a related field of study preferred.
  • Relevant experience may be considered in lieu of a degree.

Experience
  • Customer service experience, preferably in a clinical setting.
  • 1-2 years of electronic database management experience preferred
  • Call center or high-volume practice experience preferred.
  • 2-3 years of experience in scheduling, administrative support, receptionist, or customer service roles preferred.
