ESSENTIAL JOB FUNCTIONS:

  • Manage the General Manager's complex calendar, appointments, meetings, and travel arrangements.
  • Coordinate and prepare agendas, presentations, reports, correspondence, and meeting materials.
  • Serve as the primary point of contact for internal and external communications directed to the General Manager.
  • Screen and prioritize calls, emails, and requests with professionalism and discretion.
  • Take meeting minutes and follow up on action items to ensure timely completion.
  • Coordinate executive meetings, leadership events, and hotel functions.
  • Maintain confidential files, records, and sensitive business information.
  • Assist with preparing monthly reports, business reviews, budgets, and operational presentations.
  • Anticipate the General Manager's needs and proactively resolve administrative challenges.
  • Assist with planning executive visits, ownership meetings, brand audits, and special events.
  • Prepare reports, presentations, and project updates for leadership.
  • Provide administrative support for routine HR functions and daily office operations.
  • Assist with onboarding logistics, new hire orientation materials, and employee documentation.
  • Help coordinate associate recognition programs, engagement activities, and employee events.
  • Maintain organized personnel files and HR records while ensuring confidentiality.
  • Assist with scheduling interviews, training sessions, and meetings.
  • Perform any other job related duties as assigned.

REQUIRED SKILLS AND ABILITIES:

  • Excellent verbal and written communication skills in English.
  • Self-motivated, highly organized, and able to manage multiple priorities with minimal supervision.
  • Professional appearance, demeanor, and sound judgment at all times.
  • Strong proficiency in Microsoft Office Suite and other office productivity tools.
  • A level of AI knowledge (for example how Chat GBT can benefit the building of minutes, reports etc.)
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent interpersonal skills with the ability to communicate effectively with executives, associates, clients, and guests using tact and diplomacy. Ability to coordinate calendars, meetings, travel, and other administrative functions in a fast-paced environment.
  • Previous hotel experience is required.
