Job description

Administrative Assistant
Location: Hybrid (based out of New York City)
Department: Multiple Divisions
Salary: $70,000-$80,000 annually
Position Summary
Our client is seeking a highly organized and resourceful Administrative Assistant to provide dedicated support to multiple executives across various business units. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and can effectively manage competing priorities while supporting several senior leaders simultaneously.
Key Responsibilities
  • Provide comprehensive administrative support to multiple executives while balancing competing priorities and deadlines.
  • Manage complex, ever-changing calendars, coordinating meetings, appointments, and conference calls.
  • Serve as a primary point of contact for internal and external communications on behalf of supported executives.
  • Coordinate travel arrangements, itineraries, and expense reporting.
  • Prepare, format, and proofread correspondence, presentations, reports, and other business documents.
  • Organize and maintain confidential files, records, and documentation.
  • Assist with meeting preparation, including agendas, materials, meeting minutes, and follow-up on action items.
  • Coordinate executive meetings, office events, and other business functions.
  • Anticipate executive needs and proactively manage schedules and shifting priorities.
  • Draft and edit professional business correspondence with exceptional attention to detail.
  • Prepare briefing materials and presentations for executive meetings.
  • Maintain strict confidentiality regarding sensitive business information.
  • Facilitate communication across departments on behalf of executives.
  • Track project milestones and ensure action items are completed in a timely manner.
  • Support special projects and additional administrative initiatives as assigned.
Qualifications
  • 4+ years of experience supporting senior leaders or executives required.
  • Exceptional organizational and time-management skills with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to exercise sound judgment, discretion, and maintain confidentiality.
  • Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • Strong multitasking abilities and the ability to adapt in a fast-paced environment.
  • Professional demeanor with outstanding interpersonal skills.
Requirements
  • Ability and willingness to work on-site across multiple office locations throughout the New York City area as needed.
  • Comfortable managing multiple priorities while supporting several executives simultaneously.
  • Ability to work independently while collaborating effectively across teams.
Preferred Qualifications
  • Experience in the construction, engineering, or electrical contracting industry.

Salary: $70,000-$100,000 per year
