Administrative Assistant to Executive Leaders of Aon Captive & Insurance Management

Location: Hybrid- Burlington, Vermont (Minimum 3x a week in office)

We are seeking a highly skilled and proactive Administrative Assistant to Executive Leaders, to provide shared support to the Managing Director of our Captive Management team, and other leaders. This role is ideal for a professional who thrives in a fast‑paced, matrixed environment and enjoys working across teams, priorities, and leadership levels.

The successful candidate will be a trusted operational partner, supporting both day‑to‑day administrative needs and a wide range of project, business development, and communication initiatives. Strong Microsoft 365 proficiency, exceptional organization, and excellent communication skills are essential, including social media use.

What the day will look like/Key Responsibilities:

Project & Business Support

  • Prepare and maintain Excel spreadsheets, databases, PowerPoint presentations, and Word documents

  • Provide business development and consulting support within the admin team, including:

  • Pipeline updates

  • Aon Connect maintenance

  • Campaign management support

  • Marketing materials coordination

  • Schedule and support meetings and events, as a leader within the admin team, including:

  • Bi‑annual Captive Consulting team meetings across various Aon locations (meals, hotels, conference rooms)

  • Captive Management meetings, including Captive Management Americas leadership meetings, based on location and needs

  • Conference planning support

  • Liaise with Business Development team members to support Request for Proposal (RFP) responses

  • Support varied operational projects, as they arise, leveraging varied technical and organizational skills

Administrative & Operational Support, as part of the Admin Team

  • Serve as a Super User for Aon Connect entries and maintenance

  • Prepare and support Executive Leader expense reports

  • Coordinate complex travel arrangements and logistical support

  • Manage calendars and schedule meetings

  • Update Monthly Business Reports (MBR)

  • Save, organize, and analyze Monthly Management Reports

  • Support mail services including preparing shipping labels and scanning mail, on a back-up basis

  • Manage and respond to Bridger inquiries

  • Support project entries, including quality control review, monitoring, and follow‑up

Communications & Visibility

  • Prepare materials for internal communications, including:

  • Case studies

  • Captive developments

  • Internal newsletters

  • Drive social media planning, management, and execution to enhance visibility and engagement

Document & Information Management

  • Manage shared drives and SharePoint sites, including:

  • File cleanup and reorganization

  • Ongoing document management and maintenance

  • Perform PDF‑to‑Word conversions and document formatting as needed

  • Maintain version control and ensure consistency across shared materials

Required Skills & Qualifications:

  • Professional discretion in handling sensitive and confidential information

  • Exceptional organizational skills with the ability to manage multiple competing priorities
