Job description

Location: This hybrid role is based at our Headquarters office in Bowie, Maryland. The current onsite expectation is two days per week (Tuesdays and Wednesdays), with additional in-office presence as needed to support business priorities.

Overview:   Inovalon is seeking a very highly qualified Executive Assistant to support senior members of our executive leadership team. The ideal professional will be able to perform specialized and/or technical administrative work and coordinate and perform a full range of advanced level, confidential and complex administrative duties for Inovalon's leaders as they create a footprint in the industry through hard work, high energy, and innovative thinking.

Duties and Responsibilities:

  • Support senior level Executives and/or executive management teams with regard to handling telephone calls, maintaining complex calendars and meeting coordination and support, document management, communications, travel arrangements, and other such support;
  • Prepare high-level complex presentations for the executive team and protect confidential information that relates to the strategy of the company, Board of Directors, shareholders, investors, and the department;
  • Provide support and assists with key budgetary responsibilities including monitoring and reconciling, may authorize expenditures with certain limits;
  • Communicate and interpret, convey highly complex information to others and take steps to ensure understanding and shares information in a clear and concise manner;
  • Tailor communication to different audiences effectively and provides guidance to others;
  • May assist in establishing policies and procedures for the department and senior executive level administrative activities;
  • Maintain compliance with Inovalon's policies, procedures and mission statement;
  • Adhere to all confidentiality and HIPAA requirements as outlined within Inovalon's Operating Policies and Procedures in all ways and at all times with respect to any aspect of the data handled or services rendered in the undertaking of the position; and
  • Fulfill those responsibilities and/or duties that may be reasonably provided by Inovalon for the purpose of achieving operational and financial success of the Employer.

Job Requirements:

  • Minimum eight (8) years' progressive executive assistant experience support to senior executive/C Suite level;
  • Robust calendar management skills including the ability to schedule moderately complex executive meetings utilizing Microsoft Outlook and internal software;
  • Excellent organizational, time management, and written/oral communication skills;
  • Demonstrated experience attending senior level meetings, taking notes and/or minutes, interpreting, drafting and distributing (pending approval) correspondence;
  • Advanced knowledge and proficiency in Microsoft Office suite including Word, Excel, PowerPoint, and Teams;
  • Self-motivated and able to work with minimal supervision with strong organizational, prioritization initiative skills and ability to multi-task;
  • Thorough knowledge of administrative practices and procedures and general protocol;
  • Ability to effectively communicate, present information and respond to managers, employees, customers, and clients in an intelligent, clear, concise, professional and grammatically correct manner;
  • Ability to anticipate potential problems and proactively troubleshoot to resolve issues;
  • Ability to build collaborative relationships, and understand and educate internal and external customers;
  • Ability to handle the highest level of confidential information;
  • Effective project management skills with good attention to detail;
  • Professional, energetic, dependable, takes pride in their work;
  • Excellent customer service and telephone skills; and
  • Proven ability to work effectively under pressure in a fast-paced environment and meet deadlines.

Education:

  • Associates or Bachelor's degree in related field or an equivalent combination of education and work experience required; and
  • Administrative Professional certification a plus.

Physical Demands and Work Environment:

  • Sedentary work (i.e., sitting for long periods of time) exerting up to 35 pounds of force occasionally and/or negligible amount of force;
  • Occasionally to lift, carry, push, pull or otherwise move objects and repetitive motions;
  • Subject to inside environmental conditions; and
  • Travel for this position will include less than 5% locally usually for training purposes.
