Job description

Supply & Logistics Coordinator
Reports to: Vice President of Fuels
Department: Fuels / Supply & Logistics
Position Summary
The Supply & Logistics Coordinator supports daily fuel supply, logistics, inventory management, reporting, cost analysis, and delivery coordination for Road Ranger Travel Centers and potential wholesale customers. This role works closely with suppliers, terminals, common carriers, third-party logistics providers, internal operations, and the Vice President of Fuels to ensure reliable supply, accurate reporting, efficient deliveries, and cost-effective fuel sourcing.
The position also supports ERP/PDI system accuracy, supplier pricing analysis, nightly supply sourcing on a team rotation, executive reporting, and special projects as assigned.
Essential Duties & Responsibilities
  • Reconcile, analyze, and report daily fuel activity for Road Ranger Travel Centers.
  • Develop and maintain weekly and monthly fuel accounting, inventory, logistics, and cost reports.
  • Schedule, coordinate, and monitor fuel deliveries for Road Ranger locations and wholesale customers.
  • Coordinate communication and performance follow-up with suppliers, terminals, common carriers, and third-party logistics providers.
  • Monitor inventory levels, demand trends, supply availability, and delivery requirements to support timely fuel ordering and execution.
  • Coordinate and secure fuel supply at various terminals.
  • Participate in nightly supply sourcing as part of a Monday through Friday team rotation.
  • Assist the Vice President of Fuels with product sourcing, supplier pricing analysis, fuel cost reporting, and supply strategy.
  • Support ERP/PDI system setup, data entry, process improvements, and ongoing system accuracy.
  • Prepare analytics, dashboards, and PowerPoint presentations related to fuel costs, inventory, supplier pricing, logistics performance, and operational activity.
  • Support executive-level and board-level reporting and presentations as needed.
  • Maintain confidentiality of company pricing, supply, logistics, and financial information.
  • Perform special projects and other departmental duties as assigned.
Schedule Requirements
This position requires in- office M-F 1-10 PM. Additional participation in a daily supply sourcing rotation and weekend rotation responsibilities, including fuel inventory management, delivery forecasting, order creation, delivery amendments, and on-call support for supply issues and common carrier coordination which may be performed remotely.
Education & Experience
  • Bachelor's degree in Business, Supply Chain, Operations Management, Logistics, or a related field preferred.
  • Minimum of 3 to 5 years of experience in supply chain, logistics, transportation, fuel supply, or related operations.
  • Experience in general accounting, financial reporting, reconciliation, and business analysis in a corporate environment preferred.
  • Experience with ERP systems, PDI, inventory systems, or fuel management platforms preferred.
Required Skills & Qualifications
  • Strong organizational skills with strict attention to detail.
  • Ability to work under pressure, prioritize tasks, and manage multiple competing deadlines.
  • Excellent analytical, problem-solving, and decision-making skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively with cross-functional teams.
  • Expert proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook.
  • Advanced Excel skills, including spreadsheet development, pivot tables, VLOOKUP, data analysis, reporting, and database management.
  • Strong PowerPoint slide creation skills, including executive-level and board-level presentation development.
  • Strong data analytics skills, including Power BI, dashboards, reporting, and trend analysis.
  • Comfortable presenting analytics, findings, and recommendations to leadership and board-level audiences.
  • Flexible, process-oriented, and able to identify opportunities for operational improvement.
  • High degree of confidentiality, professionalism, and accountability.
Preferred Qualifications
  • Fuel supply, petroleum, terminal, or common carrier logistics experience.
  • Experience with PDI or other fuel accounting and inventory management systems.
  • Knowledge of fuel pricing, rack pricing, freight costs, inventory levels, and delivery scheduling.
  • Experience supporting wholesale fuel customers or multi-site retail fuel operations.
