Job description

We are a fast-growing, entrepreneurial healthcare company backed by private investment and based on Long Island. We are seeking a highly capable, proactive Executive Assistant to support our CEO and serve as a trusted partner in managing day-to-day operations. This is a high-impact role for someone who thrives in a dynamic environment and enjoys anticipating needs, solving problems, and enabling executive effectiveness.

This position offers a unique opportunity to evolve into a Chief of Staff–type role as the company continues to scale.

Key Responsibilities

  • Manage the CEO's calendar, scheduling, meetings, and daily logistics with precision, discretion, and foresight

  • Coordinate domestic travel arrangements, itineraries, and related logistics; light travel may be required (approximately twice per year)

  • Prepare for meetings by organizing agendas, taking detailed notes, tracking action items, and following up to ensure execution

  • Handle professional correspondence on behalf of the CEO, including emails, documents, and internal communications

  • Act as a gatekeeper and liaison between the CEO and internal and external stakeholders

  • Anticipate priorities, think proactively, and adapt quickly in a fast-changing business environment

  • Support special projects and strategic initiatives, with increasing responsibility over time

Qualifications

  • 6+ years of experience as an Executive Assistant, Senior Administrative Professional, or similar role supporting senior leadership

  • Bachelor's degree preferred

  • Exceptional organizational skills with strong attention to detail and follow-through

  • Ability to think on one's feet, manage competing priorities, and remain calm under pressure

  • Comfort working in a dynamic environment with fluctuating workloads

  • High level of professionalism, discretion, and judgment when handling confidential information

  • Strong written and verbal communication skills
