Legal Secretaries

Client is seeking candidates to assist with the management of the Agency's Records Access program. The position calls for staff who are task oriented with great attention to detail. Additionally, staff need to be able to work independently with time-sensitive and confidential tasks. Preferred candidates would also have experience with redacting sensitive documents in line with State and Federal laws, have the ability to audit and review redactions, have experience training new staff, have knowledge of, and ability to apply, Key Performance Indicators (KPIs) and LEAN concepts to make processes more efficient, and be able to send correspondence to outside State agencies and/or service providers.

Key Responsibilities
  • Completing redactions on Justice Center cases pursuant to Social Services Law (SSL) § 496 and Freedom of Information Law (FOIL) requests; audit and review redactions performed by others; monitoring workflow in SharePoint to ensure efficiency and productivity.
  • Maintain functional awareness on staff responsibilities and assist when possible.
  • Present training material and/or redaction training topics during all-staff meetings.
  • Create cover letters for correspondence with provider or other applicable parties; review possible incomplete Investigative Summary Reports (ISRs) and letters of determination (LODs) and reaching out to supervisors, as needed.
  • Assist with the process of dispatching case information to the Office of the Medicaid Inspector General (OMIG); grant Corrective Action Plan (CAP) extensions for delayed provider cases.
  • Complete records management and reconciliation duties; mail out closed Justice Center cases to be received by the provider or applicable parties; other duties may require the proper handling of confidential information and the import/export of information from Justice Center databases. Additional projects and duties may also be assigned, depending on emergent agency business needs. Ability to maintain confidentiality of documents, conversations, proceedings, process, etc. is required.

  • Microsoft Office (Word, Excel), Adobe Pro, SharePoint, TEAMS and Email (Outlook). The position also requires the ability to learn and utilize the Justice Center database program.
