Schedule: Highly flexible

Work setting: On-site and remote

Status: Part-time, non-exempt


Position Summary

Choral Arts Ensemble (CAE) seeks a dependable, organized, and welcoming Concert Production Assistant to support the successful delivery of concerts and special events. This position combines hands-on concert production and primary front-of-house responsibility with routine administrative support. The ideal candidate is comfortable shifting between active event support, communication with patrons and volunteers, and detail-oriented office tasks.


Schedule and Flexibility

The position averages approximately 16 hours per week over the course of the year. The regular schedule is highly flexible and may include a combination of office and remote work, coordinated with the Executive Director. Hours will vary with CAE’s production calendar.

During concert weeks, the employee must be available for additional on-site hours, including evenings and weekends. Some weeks will require more than 16 hours, balanced by lighter weeks at other times of the year. Concert and event dates are scheduled well in advance. For the current 2026-2027 Season, the concert weeks are:

  • Sunday, Oct 18 – Sunday, Nov 1, 2026
  • Thursday, Nov 5 – Sunday, Nov 8, 2026
  • Tuesday, Dec 8 – Sunday, Dec 13, 2026
  • Tuesday, Feb 9 – Saturday, Feb 13, 2027
  • Tuesday, Mar 9 – Sunday, Mar 14, 2027
  • Tuesday, Apr 27 – Sunday, May 2, 2027

Primary Responsibilities - Concert Production and Front of House

  • Organize concert and event setup, breakdown, loading, cleanup, and movement of supplies and equipment.
  • Coordinate and schedule with venue staff and contracted event vendors (i.e., audio/video recording).
  • Serve as CAE’s primary front-of-house liaison for concerts and major events.
  • Recruit, schedule, communicate with, and direct ushers and other event volunteers.
  • Coordinate lobby setup, signage, ticketing/check-in areas, programs, accessibility needs, and patron flow.
  • Troubleshoot front-of-house concerns and communicate promptly with venue staff and CAE leadership.
  • Help ensure that each event is safe, organized, hospitable, and consistent with CAE’s standards.

Administrative Support

  • Serve as the lead contact for ticketing, patron records, registrations, and routine communications with vendors and volunteers.
  • Maintain organized electronic and paper files, calendars, lists, and production records.
  • Assist with email correspondence, mailings, data entry, document preparation, copying, online site updating, and other office tasks.
  • Perform other administrative duties as assigned in support of CAE programs and operations.

Qualifications

  • Availability for scheduled evening and weekend work during concert weeks.
  • Strong organizational skills and careful attention to detail.
  • Clear, courteous written and verbal communication skills.
  • Ability to work independently, manage changing priorities, and follow through reliably.
  • Comfort working with the public and coordinating volunteers in a busy event environment.
  • Working knowledge of email, shared calendars, word processing, spreadsheets, and cloud-based file systems; experience with Google Workspace is preferred.
  • Ability to lead volunteers to transport, set up & take down choral risers, large instruments (when needed), and concert supplies with or without reasonable accommodation. Ability to remain on one’s feet for extended event periods.
  • Previous administrative, customer-service, nonprofit, performing-arts, hospitality, or event-production experience is helpful but not required.
