Job Summary
The University of Utah Senior Event Supervisor reports to the Associate Director of Events and Operations, who reports to the Director of Stadium, Arena & Campus Event Services. The SACES senior event manager's serves as the primary planning contact for clients hosting education, corporate, social, and athletics or entertainment events held at Rice-Eccles Stadium and the Jon M. Huntsman Center. Event attendance may range for 10 to 45,000+ and the SACES senior event manager will directly overseeing daily operations for Client Services staff. This position will also coordinate event needs and operations with parking, police, security and contracted guest services. This position will also be responsible for effectively communicating program details to operational teams, appropriate University departments and involved third parties.

Responsibilities
Serve as the primary event manger planning contact for assigned clients and act as a liaison between the client, Stadium, and other University departments.
Meet and conduct walk-throughs with clients to determine event scope and needs while establishing all venue rules, regulations, and policies that apply, to assign event manager to events.
Manage timely production and distribution of event orders, information sheets, layouts, and timelines to all Stadium departments
Coordinate services with vendors and appropriate University entities including catering, AV, parking, ushers, security, etc. with event managers.
Maintain frequent, direct communication with clients services staff with clients throughout the planning process so that timelines are met and changes are efficiently managed.
Create, deliver, and monitor all client financial documents, including pre-event budgets, event orders, and post-event.
Timely production and distribution of event orders, information sheets, layouts and timelines to all Stadium departments.
Coordinate services with vendors and appropriate University entities, including catering, AV, parking, ushers, security, etc.
Maintain frequent, direct communication with clients throughout the planning process so that timelines are met, and changes are efficiently managed.
Attend weekly meetings, including production (event detail review), Client Services Department, and one-on-one with the direct supervisor
Coach, counsel, and support Client Services Department supervisors and assistants; settlements.
Manage all client services team, and assigns all events and part time events assistants.
Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
Preferences
A minimum of three years coordinating contracted events at venues such as hotels, convention centers, banquet halls, stadiums, and arenas is preferred.
Demonstrated computer skills, including proficiency with event management and diagramming software, is preferred.
Demonstrated human relations and effective communication skills.
