Job description

The Project Manager, Account Production (Internal), will successfully plan, coordinate, and execute internal projects and event-related deliverables. This position partners closely with the Project Management (PM) team, cross-functional departments, and, when necessary, external clients and vendors to ensure seamless project execution and adherence to established timelines.

Key Contributions of the Role
  • Maintain and track the Event Production inbox with oversight from the Manager, Account Production (AP).
  • Create and track project timelines, deliverables, and milestones to ensure timely completion.
  • Provide overflow support to the Account Service Representative (ASR) and Sponsorship teams on day-to-day logistical planning and execution of event needs.
  • Partner with Account Executives (AEs) and Operations teams to prepare and maintain required event data and on-site documentation.
  • Manage pre-show planning activities for trade shows, including oversight of in-house, special, and custom event projects.
  • Communicate professionally with vendors and external partners, coordinating services such as electrical, audiovisual, and rigging needs.
  • Facilitate project meetings, document outcomes, and follow up on action items to drive accountability.
  • Fulfill requests related to structural design, graphic design, floor plans, technical issues, and writing work orders as directed by the AP Management team.
  • Assist with financial tracking, including pre- and post-show budget activities, KPI reporting, and show analysis as needed.
  • Assist exhibitors while placing orders for posters or custom booth upgrades (exclusive of Exhibits upgrades), following the department’s SOPs for use of ExhibitorPro and/or Salesforce.
  • Oversee inventory management and storage operations, ensuring accurate tracking of materials, shipments, and on-site logistics.
  • Provide on-site event support and coverage during peak periods or team absences.
  • Support planning and execution for internal AP departmental functions.

Requirements

  • Minimum 2-4 years of experience in project management, event coordination, or a related field.
  • Demonstrate professionalism and deliver a high level of service in all internal and external interactions.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficient with Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Technology-driven mindset, with the ability to research and implement process improvements that drive efficiency, leveraging company-approved AI solutions such as Copilot, Claude, and Perplexity.
  • Familiarity with Salesforce or similar CRM platforms is a plus.
  • Project Management Professional (PMP) certification a plus.
  • Willingness and ability to work evenings, weekends, and holidays based on business needs.
  • Bachelor’s Degree preferred; equivalent experience may be exchanged for formal education.
