Location: Cincinnati, Ohio

Contract Type: Part-time

Hours: 10-15 Hours/ Event Weekend (Friday, Saturday, Sunday)

Compensation: $25.00/ Hour

Position Summary:

Our Private Events team is expanding! We are looking for a personable, organized, and detail-driven Private Event Coordinator to join our hospitality team. This position is ideal for someone with a passion for creating unforgettable experiences and the ability to manage multiple moving parts with grace and professionalism. This role is ideal for someone who thrives in a hospitality environment and is passionate about curating exceptional guest experiences. You will play a hands-on role in coordinating wedding ceremonies, receptions, and private events at our venue, supporting clients from planning to execution.

Essential Functions:

  • Act as the main point of contact for clients (prior to the event and for day of) planning private events.
  • Provide on-site support during events to manage setup, troubleshoot issues, and ensure smooth operations and service.
  • Communicate with caterers, florists, photographers, and entertainment providers to ensure seamless service delivery.
  • Oversee event setup, vendor arrivals, guest flow, and tear-down, ensuring a smooth experience for all involved.
  • Work with internal teams (Event Manager, Event Coordinators, Beverage amp; Event Assistant, Bar Staff, Preparation amp; Maintenance team) and external vendors to ensure seamless event execution.
  • Orchestrate ceremony rehearsals and day-of-event coordination.
  • Follow detailed event timelines and floor plans based on client preferences and venue logistics.
  • Serve as a calm and confident point of contact for clients, vendors, and guests during events.
  • Maintain accurate records, contracts, and communication logs.
  • Provide post-event feedback and help identify areas for improvement.
  • Ensure compliance with all safety, health, and legal regulations

Requirements:

  • At least 2 years of experience in event planning or coordination, ideally within the hospitality, wedding, or venue management sector.
  • Strong interpersonal and client service skills (verbal and written)
  • Excellent organizational and multitasking abilities
  • Comfortable working independently and as part of a team.
  • Ability to work flexible hours, including evenings, weekends, and holidays
  • Proficiency in event management software (e.g., Tripleseat, Prismm, or similar) is a plus
  • Exceptional attention to detail and problem-solving abilities
  • Ability to prioritize tasks and work under pressure while staying organized and managing time well
  • Bachelor's degree in Hospitality Management, Marketing, Communications, or related field preferred
