Job description

Kellogg, Hansen, Todd, Figel and Frederick P.L.L.C. is in search of an evening receptionist to operate our multiline telephone system, respond and direct incoming calls to appropriate personnel and assist in daily administrative duties. This position requires the Evening Receptionist to function in a support capacity for all levels of the Firm. Therefore, regular and reliable attendance standards must be met in order to provide adequate coverage.

Position Hours: 11:00am - 7:00pm

Primary Responsibilities:

  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Welcomes on-site visitors and clients, determines nature of business, and announces visitors and clients to appropriate personnel.
  • Assists with coverage on partner lines as necessary.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Maintains security and appearance of reception area; monitors visitor access.
  • Schedules office maintenance requests with building management.
  • Manages Firms Food and Travel taxicab accounts (Uber, Lyft, etc.)
  • Orders flowers or gifts for clients or staff as requested, and other miscellaneous requests.
  • Assists with attorney time entry in firm timekeeping database by request as needed.
  • Maintains firm telephone and all other administrative lists as noted in the Receptionist Handbook.
  • Provide updated firm telephone list and all other administrative documents to Help Desk for intranet posting.
  • Receives incoming first-class mail; sorts for delivery to name partners; sorts and opens accounts payable and date-stamps.
  • Coordinates scheduling and catering for weekly attorney lunch.
  • Coordinates evening work-late dinner orders, reservations and catering needs for conference rooms.
  • Coordinates Maintains firm rolodex database with updated names, addresses, and telephone numbers for use by all personnel.
  • Assists with mass mailing of firm announcements.
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents as necessary.
  • Assists with overflow work from assistant group.
  • Prepare firm newsletter and circulates to all staff.
  • Assist Records Manager with entering offsite data into database; create and apply labels to document folders.

Required Qualifications:

  • Minimum of an Associate's degree (A. A.) or equivalent from two-year college or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • High level attention to detail
  • Ability to handle problems involving a few concrete variables in standardized situations and be flexible in a fast paced environment.
