Job description

Nearly 23 years ago, 23-year-old Matthew Dicken grew frustrated with the issues plaguing the financial services industry and set out on a mission to change the industry standard and prioritize clients in retirement planning. What started as a small two-person team in a 1,200 sq. ft. office in Louisville, KY, has evolved into the Strategic Wealth Designers we now know, with 18 locations across the U.S. and almost 100 employees. As we continue to grow, we're looking for passionate individuals to help take us to even greater heights.

At Strategic Wealth Designers (SWD), we are a full-service financial firm specializing in assisting individuals who are near or in retirement. We pride ourselves on fostering a collaborative and close-knit environment, and we are looking for a new team member who can complement our team’s values and culture.

We didn’t grow by accident.

We grew because we care about the client experience, and we protect it relentlessly.

We don’t hire to fill seats.

We hire people who raise standards.

This role is not “front desk support.”

This role owns the client experience engine inside the office.

If clients feel valued, cared for, and taken care of before they ask, you’re winning.

If things fall through the cracks, you own it and fix it.

The Mission

You are the first impression.

You are the operational glue.

You are the standard setter for how clients experience our brand in person and behind the scenes.

Your job:

Create a seamless, organized, professional, and memorable client experience, every single time.

Not occasionally.

Not when it’s convenient.

Every time.

What Winning Looks Like

You’ll know you’re winning when:

  • Clients consistently comment on how welcoming our office feels
  • Advisors never worry about calendar accuracy or meeting logistics
  • CRM records are clean, updated, and accurate
  • Appointments and events run smoothly without last-minute chaos
  • The office runs like a machine and is always stocked, prepared, professional
  • Nothing slips through the cracks

If something breaks in the client experience, you catch it before anyone does.

What You’ll Be Responsible For

This role owns execution across three primary areas:

Client Experience & Front Office Leadership

You are the face of the office.

You will:

  • Greet clients and prospects with professionalism, warmth and care
  • Deliver a consistent “wow” hospitality experience
  • Ensure Zoom links and meeting logistics are flawless
  • Answer and route calls with confidence and clarity
  • Respond to client communication promptly and professionally and within SLA
  • Schedule annual Strategy Updates and support follow-up cadence
  • Maintain a clean, accurate team calendar

You don’t just welcome clients.

You make them feel fully taken care of.

Office & Operational Infrastructure

You ensure the office runs smoothly without supervision.

You will:

  • Maintain office appearance and meeting room readiness
  • Manage mail, scanning, and data entry with precision
  • Oversee inventory, hospitality items, and office supplies
  • Coordinate lunches and hospitality for team and client meetings
  • Support in-office events and training sessions
  • Serve as point person for office equipment and logistics
  • Process dictations and ensure accurate CRM entry
  • Research and organize prospect data in CRM

If the office feels chaotic, you fix it.

If a system is inefficient, you improve it.

If you’re looking for a role where your organization, professionalism, and ownership directly impact client trust and firm growth — This is that role.

If you just want a front desk job — This isn’t it.

Minimum Requirements

  • 2+ years of customer service/client facing experience or experience in a fast-paced detail oriented environment
  • Strong organizational and time management skills
  • High attention to detail with minimal error tolerance
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities without constant supervision
  • Proficiency in Microsoft Office Suite
  • Comfort handling inbound calls professionally
  • Experience with CRM systems preferred

Who You Are

  • You take ownership.
  • You notice details others miss.
  • You move quickly without sacrificing accuracy.
  • You don’t wait to be told what to do.
  • You believe client experience is a competitive advantage.
  • You bring positive energy, but you also bring discipline.
  • You don’t just complete tasks. You elevate standards.

Who This Is Not For

This is not for someone who:

  • Needs constant direction
  • Struggles with organization
  • Gets overwhelmed in a fast-paced environment
  • Avoids accountability
  • Is satisfied with “good enough”

We build systems that scale.

We protect our reputation fiercely.

We expect professionalism — always.
