Job description

Description

The Data Entry Clerk for the Personal Injury (PI) Team is responsible for accurately and efficiently entering information into the clinic's electronic medical record (EMR) and case management systems. This role plays a critical part in ensuring that patient, attorney, and insurance data is complete, compliant, and available to support timely patient care, billing, and legal documentation.

This position requires strong attention to detail, discretion, and the ability to work in a fast-paced healthcare and legal coordination environment.


Key Responsibilities

Patient Intake & Data Entry

 Creating and sending procedure estimates

  • requesting additional authorizations
  • Invoice and schedule requests
  • Invoice and schedule deposition requests
  • Send out final bills and ledgers

Document Management

  • Upload, label, and organize intake documents, accident reports, and legal forms
  • Ensure all required PI documentation is received and recorded
  • Maintain standardized naming conventions and filing practices

Quality Control

  • Review data for missing, inconsistent, or incorrect information
  • Flag discrepancies and follow up with intake staff, attorneys, or patients when needed
  • Maintain HIPAA compliance and protect sensitive patient and legal information

Team Support

  • Coordinate with front desk, PI coordinators, and billing teams to ensure smooth case flow
  • Track intake volumes and report backlogs or errors
  • Assist with audits, reporting, and case reviews when requested




Requirements

Required

  • High school diploma or GED
  • 1+ year of data entry, medical records, or healthcare administrative experience
  • Strong typing and data accuracy skills
  • Basic knowledge of medical terminology
  • Comfortable working in EMR systems and document management platforms
  • High level of attention to detail and confidentiality

Preferred

  • Data entry speed of 40- 60 words per minute
  • Experience in a pain management, PI, or legal-medical environment
  • Knowledge of personal injury workflows and documentation
  • Experience with medical billing or case management systems
