Summary Overview:
The Office of Pharmaceutical Quality requires the services of one full-time Administrative Specialist to support program operations through day-to-day administrative tasks. The Contractor shall provide support to senior leadership staff, including the Director of the Office of Pharmaceutical Quality and Research (St. Louis laboratory). The Administrative Specialist will complete a wide range of actions and must ensure timeliness, completeness, and accuracy. This includes welcoming staff and visitors, monitoring the front desk and front gate, escorting facility services vendors to building locations, and providing clerical support.
Performs duties with a high degree of accuracy and confidentiality, maintaining and managing administrative files, records, and operational data in accordance with established standards. Delivers robust customer service support by coordinating meetings, managing scheduling logistics, providing front desk coverage, and supporting visitor access and escort services to ensure a professional and efficient environment for staff and stakeholders.
Leverages strong written and verbal communication skills to support the drafting, distribution, and coordination of official correspondence, while ensuring timely and effective information flow across the FDA, HHS, and interagency stakeholders
Supervisory Responsibilities:

Essential Duties and Responsibilities:
โ€ข Manage program schedules, conference room reservations, and calendars using FDA-approved Microsoft Office applications and networks.
โ€ข Coordinate and schedule meetings, maintain personal and administrative files, and provide logistical meeting support, including escorting visitors to meeting locations.
โ€ข Answer and route telephone calls, respond to inquiries, prepare, edit, and distribute emails, letters, and other correspondence.
โ€ข Work independently while interacting professionally with executives and staff across the Food and Drug Administration (FDA), Department of Health and Human Services (HHS), and other Federal agencies.
โ€ข Perform general administrative and office support functions, including:
o Submitting facility service requests through the ERIC system.
o Coordinating shipping and receiving activities.
o Managing copying, printing, and shredding requirements.
o Assisting with employee and visitor badging.
o Escorting vendors and visitors as required.
Required Experience and Skills:
โ€ข Adept with English grammar, spelling, punctuation.
โ€ข Familiarity with Microsoft Word including track changes.
โ€ข Five years Administrative Experience
