UI Heart and Vascular Center is seeking a Clinic Services Specialist to support our Cardiomyopathy programs.
In this role, the Clinic Services Specialist will provide efficient, effective and highly collaborative clinical operational support through the delivery of health care services in the UI Heart and Vascular Center's (HVC) main campus outpatient clinic, along with the procedural units for all Cardiomyopathy programs.
HVC Cardiomyopathy programs include: Heart Failure, Heart Transplant, Lung Transplant, Pulmonary Hypertension, and VAD.
Position Responsibilities:
  • Responsible for scheduling patient appointments and visits within the HVC's main campus outpatient clinic using the electronic medical record (EMR) as needed.
  • Assist with scheduling and coordinating appointments in the procedural units (adult cardiac catheterization, electrophysiology and vascular labs).
  • Obtain prior authorizations prior to scheduling procedures as needed.
  • Assist with EPIC in basket and prior authorization denial work queue.
  • Work collaboratively with a multidisciplinary team.
  • Assist with problem solving of scheduling issues.
  • Follow the scheduling policies to facilitate all patient appointments.
  • Regularly attend scheduling staff meetings.
  • Coordinate provider schedules (Master schedules, daily templates and clinic closures).
  • Notify UI Patient Appointment Center (PAC) and HVC frontline supervisor of scheduling issues in a timely and effective manner.
  • Serve intermediary between patients and nursing personnel concerning scheduling concerns and medical needs.
  • Negotiate appointments with patients and other departments.
  • Negotiate schedule changes with providers and communicates changes with staff/supervisors.
  • Explain scheduling policies to other schedulers as needed through written and oral communications.
  • Collaborate with peers and co-workers to enhance the delivery of health care.
  • Provide feedback to management on means to achieve goals and resolve service issues.
  • Contribute ideas and seek ways to improve assigned processes.
  • May provide training and functional and/or administrative supervision for students/temporary staff.
  • May analyze, monitor and report financial data, information and reports.
  • Participate in daily phone coverage utilizing the resources available to maintain the Ambulatory Care Services "Standards of Excellence." Upholds HVC and UIPAC best practices.
  • Is accountable for meeting metrics/targets as pre-determined by the HVC and UIPAC.
  • Serve as mentor, role model, and service excellence ambassador for staff, co-workers, patients and visitors.
  • May perform other duties as assigned.

Education Requirement:
  • Bachelor's Degree in Business Administration or Business Management; or an equivalent combination of education and experience is required.

Experience Requirement:
  • Effective and positive communication (verbal and written) and interpersonal skills.
  • Demonstrated ability to work well within a multi-disciplinary team and collaborate effectively with internal and external customers as well as colleagues at all institutional levels.
  • Must be proficient in computer spreadsheet and database applications.

Desired Qualifications:
  • 1-3 years experience performing complex patient scheduling across multiple departments or sub-specialties (hospital setting preferred).
  • Prior experience processing prior authorizations.
  • Experience utilizing Epic.
