About the role
The Project Manager Assistant directly supports Project Managers (PMs) within the Client Services Division using M 365 tools and our Laboratory Information Management System (LIMS). You will have regular interaction with GEL Laboratory clients and internal personnel. The project management group consists of small teams of project managers and assistants who work together to ensure their clients' analytical needs are met on time. The Project Manager Assistant role is designed with a growth trajectory toward Project Management. The ideal team member delivers superb customer service while seamlessly executing all administrative tasks in both the laboratory and office setting.
What you'll do:
  • Respond promptly to external customers via phone or email
  • Consult with laboratory analysts or leadership to obtain additional information needed to resolve customer questions
  • Data entry to correctly assign samples to laboratory worklists
  • Summarize sample receipt issues and providing sample receipt acknowledgements to clients
  • Assist in preparation of reports and narratives as required
  • Review invoices for accuracy vs. quotes and contracts
  • Assist in sub-contracting of samples to other laboratories
  • Assume the role of Project Manager "back-up" during Project Manager absence
  • Demonstrate and support GEL's core values

Qualifications
  • Bachelor of Science, preferably in Chemistry or Biology
  • Or Bachelor of Business Administration/Bachelor of Science in Business Administration
  • At least one year of customer service experience
  • Exceptional organizational skills, verbal and written communication skills, and attention to detail
  • Strong analytical, problem-solving and troubleshooting skills
  • Ability to follow written and verbal instructions
  • Basic math and science knowledge
  • Excellent computer skills, including M365 applications including Excel

Working Environment & Physical Demands
Work is performed in a combination of office, conference, laboratory, and client site environments. The role involves regular presence in laboratory areas with exposure to chemicals, fumes, gases, and odors typical of an analytical laboratory setting. Employees must be able to use standard office and laboratory equipment and maintain the stamina required to sit or stand for extended periods. The position requires the ability to occasionally lift, carry, push, or pull up to 20 pounds and frequently handle up to 10 pounds.
