Description

AES Drilling Fluids is seeking an Administrative Assistant / Dispatcher in Clinton, OK!   This dual-role position supports warehouse operations by performing administrative and dispatching duties by scheduling, coordinating, and arranging the delivery of product to rigs in an efficient and timely manner for the Clinton facility. The position ensures timely and accurate administrative and logistics operations in a fast-paced environment.

WORK LOCATION: Clinton, OK


RESPONSIBILITIES:


Administrative Assistant

1. Maintain organized records of materials/products sold, transferred, or received.

2. Process delivery tickets, vendor receipts, and recaps, transmitting all necessary documentation to the Houston office.

3. Provide administrative support to the Warehouse Manager, including correspondence drafting, order tracking, and information gathering.

4. Answer phone calls and emails, directing inquiries appropriately, and providing professional customer service to vendors, engineers, and internal teams.

5. Assist with office duties including copying, faxing, filing, shipping/receiving packages, and maintaining an organized office environment.

6. Coordinate visitor access, receive deliveries, and maintain basic front desk responsibilities at Clinton.


Dispatcher

1. Schedule, coordinate, and arrange deliveries of chemicals, mud, bulk products, and returns.

2. Serve as the primary contact for drilling fluid engineers for placing orders, order adjustments, and logistics coordination.

3. Maintain accurate well locations and update dispatch boards and logs for both locations.

4. Enter orders in AES Pro, generate pick lists, create delivery tickets, POs, and return tickets.

5. Communicate with 3rd-party trucking companies to ensure timely delivery, track ETAs, and escalate delays when necessary.

6. Supports warehouse management by reading, researching, and properly routing correspondence, drafting, revising, and reviewing letters and documents, collecting and analyzing information, and initiating telecommunications.

7. Monitor and process mud returns, including scaling in/out, ticketing, and credit entries.

8. Facilitate accurate tracking logs, dispatch reports, and ensure all related documentation is properly filed and shared with engineers and office personnel.


Requirements


1. High school diploma or GED.

2. Minimum 2 years in warehouse, dispatch, or administrative roles within the oil and gas industry is preferred.

3. Bilingual language abilities (English/Spanish) is a plus.

4. AES Pro system experience preferred.

5. Strong organizational, communication, and multi-tasking skills.

6. Ability to work independently and prioritize tasks effectively across two lo
