Logistics/Operations Coordinator (International Programs)

Responsibilities We are seeking an entry-level Operations Coordinator (International Programs) to join our team in San Antonio, Texas (Northeast side of town). In this pivotal role, you'll be assigned a portfolio of countries and be responsible for coordinating comprehensive international logistical and staffing support services with our global network of subcontractors, ensuring seamless execution of operations for our U.S. government client.

Your day-to-day coordination activities will include:

  • Travel and Transportation: Overseeing ticketing, per diem, visa/passport services, and local transportation, including authorized car and driver services.
  • Office and Residential Support: Arranging for office equipment, supplies, and furniture; also managing residential utilities.
  • Staffing Support: Coordinating the recruitment, hiring, and management of local support staff (e.g., Project Assistants, Translators, IT Specialists) in foreign countries.
  • Invoice Management: Coordinating all invoicing for your assigned portfolio and proactively troubleshooting any discrepancies.
  • General Logistical Coordination: Managing a wide array of additional support, such as conference logistics and procurement of equipment.
  • Compliance and Reporting: Ensuring all coordinated activities align with established internal processes, procedures, and client requirements.

Basic Qualifications

  • Bachelor's degree or equivalent and 1 to 2 years of relevant experience.
  • Strong computer literacy, including proficiency with Microsoft Office Suite.
  • Excellent customer service skills.
  • Excellent organizational skills with a keen eye for detail.
  • Strong communication and interpersonal skills, capable of building and sustaining professional relationships with internal colleagues and international affiliates.
  • Demonstrated ability to problem-solve and adapt to frequently changing priorities in a dynamic international environment.
  • Good negotiation and conflict resolution skills.
  • Ability to work effectively across teams with competing priorities.

Desired Skills and Attributes

  • Experience in international relocation or global mobility support.
  • Commitment to consistently working within internal processes and procedures.
  • Willingness to engage in corporate initiatives as requested.
  • Basic understanding of our business and how this position contributes to operational effectiveness.
  • Proficiency in a foreign language is a plus.
