POSITION SUMMARY

We are seeking a dynamic and relationship-driven Marketing Assistant to join our growing ophthalmology and optometry multi-location practice, which includes two surgery centers. The ideal candidate will play a key role in building and maintaining strategic relationships with referring physicians in the local community by promoting our practice services to increase referral volume and enhance referral retention, while also handling various administrative duties for the marketing department.

ESSENTIAL SKILLS AND ABILITIES

  • Proficient computer skills and able to set up projector, screen, and presentations for events
  • Detail-oriented
  • Outgoing and enjoys socializing
  • Ability to problem solve
  • Must be able to handle doing repetitive document prep work
  • Excellent communication skills, interpersonal, and relationship-building skills
  • Possess a caring, patient, and friendly attitude
  • Must be a team player, but able to work very independently as this job requires
  • Must be self-directed, highly motivated, able to manage multiple priorities
  • Ability to learn working knowledge of all ophthalmic terminology, spelling and pronunciation
  • Must have reliable transportation and be able to travel to referring physicians and locations

MINIMUM QUALIFICATIONS

  • High School Diploma or GED required
  • Associate’s degree in Business, Healthcare Administration, Marketing, or related field (preferred)
  • 2+ years of experience in healthcare sales, marketing, or physician liaison roles, ideally within ophthalmology, optometry, or related fields (preferred)
  • Ability to comfortably conduct presentations, tech savvy enough to know how to set up projector, screen, and presentations for events without help, and speak publicly at educational events
  • Must know how to use are fluent in Microsoft Office programs: Word, Excel, Outlook, Teams

DUTIES AND RESPONSIBILITIES
Physician Relationship Building:

  • Establish, cultivate, and maintain strong relationships with community-based referring physicians, including ophthalmologists, optometrists, primary care physicians, and other specialists.
  • Serve as the key point of contact for referring physicians, addressing inquiries, providing updates, and offering information on services, specialties, and procedures available within the practices.

Marketing & Education Support:

  • Collaborate with the Marketing Director to organize, distribute, and set-up relevant marketing materials to physicians and medical offices.
  • Schedule and facilitate with our physicians, “Doctor Talk” events in 55+ communities, providing educational seminars to potential patients on eye health, surgical options, and available treatments.
  • Promote and share educational content and practice specialties to encourage referrals

Referral Growth & Retention:

  • Drive growth in referral volume by proactively engaging with physicians and healthcare providers in the area and enhance referral retention.
  • Monitor and evaluate referral patterns, identifying opportunities to increase referral retention and volume.
  • Assist in tracking and reporting on key metrics, including referral trends, patient feedback, and event effectiveness.

Community Engagement:

  • Actively participate in local healthcare events, chamber events, conferences, and community activities to enhance the practice’s visibility and establish connections with potential referrers.
  • Represent the practice in a professional and engaging manner to maintain a positive image within the local healthcare community.

Administrative & Reporting:

  • Report regularly to the Marketing Director on activities, progress, challenges, and successes in the field.
  • Maintain an organized database of interactions, referrals, and outcomes for future strategic planning.
  • Capable of completing repetitive preparation of referral folders and documents with speed and accuracy.
  • Maintain practice confidentiality, follow legal, HIPAA & OSHA guidelines, follow the rules and regulations of the practice as documented in the practice employee manual.

SCHEDULE

  • Our business hours are Monday–Friday. Schedule of exact hours may vary from week to week to accommodate attending events. The role is required to attend early morning, evening, or weekend special events, or more days during the week but will not exceed 40 hours.
  • Community/Chamber Events may take place before or after hours or on weekends (advance notice will be provided).
  • Must be able to attend one monthly meeting and/or training event before or after normal business hours (advance notice will be provided).

  • This job is very physical. Constant movement of heavy boxes up to 50 pounds and loading items to and from vehicle for transport to referring doctor locations and events.
