Department Overview:Boise State's College of Education and School of Public Service came together on July 1, 2026, to form the College of Education and Public Service. As the college continues its multiyear transition, the Education and Public Service support teams currently maintain separate structures so faculty, staff, students, and academic programs continue receiving consistent administrative support.
The Education Support Team serves the education programs and units within the new college. Team members work closely with department and program leaders, faculty, staff, students, and college colleagues to support budgets, course and curriculum processes, scheduling, hiring, payroll, travel, purchasing, records, and other operational needs. This Administrative Assistant 2 is an ongoing member of the team and will help sustain strong day-to-day service while also contributing to the development of more coordinated practices across the college over time.
Applies skills and job knowledge in area of specialization; may adapt procedures, operations, techniques, tools, materials, and/or equipment to meet needs of area of specialization; may work on non-routine tasks; resolves issues/makes working decisions within area of specialization or responsibility with minimal supervision.
Essential Functions:60% of Time the Administrative Assistant 2 must:
Coordinate administrative activities which require frequent contact with executives, the public, other agencies and campus officials. May attend meetings to relay and collect information.
Independently research, analyze, and compile information to prepare reports, handle complaints, or resolve problems; compose correspondence for supervisor on own initiative or from general instructions; format/type a variety of executive, sensitive, confidential, official and/or legal letters and documents.
Exercise discretion and independence in applying policies and procedures
Responsible for the research, compilation, and organization of materials for administrators' use in problem resolution.
Responsible for financial record-keeping, including monitoring budgets and preparing financial transactions
Supervise student support staff or have lead work responsibilities.
May be responsible for ensuring that assignments given to other staff are completed and timelines are met. May supervise students and staff.
35% of Time:
Work closely with Department Heads to manage budgets including monitoring expenditures, ensuring proper funding sources are charged, and tracking self-support programs revenue, course fees, and grant buyouts.
Have knowledge of and ability to apply University financial policies.
Work on course and curriculum management and schedule development.
Manage department electronic recordkeeping and keep data updated, accessible, and user-friendly to faculty, staff, and students.
Complete documents to hire adjunct faculty.
Monitor payroll to ensure department faculty and staff are properly compensated. Make payroll corrections as needed.
Perform an array of office administration tasks such as purchasing office supplies and equipment, maintaining a record of computers and peripherals, and providing customer service by responding to a wide variety of phone calls, emails, and some in-person contact.
Schedule department meetings. Take minutes and distribute the final version to faculty and staff; maintain an archive of minutes and agendas.
Submit travel authorization and reimbursement requests for faculty, staff, and students. Ensure that expenditures do not exceed department or individual budget limits. Ensure University policies are followed.
5% other duties as assigned
Knowledge, Skills, Abilities: Ability to compose official correspondence, reports, research papers, and other complex documents; providing administrative support to an administrator, director, or senior staff member; designing manual and automated record management systems.
Some knowledge of supervisory practices; bookkeeping; financial software; state and local government organization structure, functions, and decision-making processes.
Good knowledge of: office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling, and summarizing data for reports.
Experience: in interpreting, applying, and explaining complex information such as regulations, policies, or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements. Score within the top 25 on the exam.
Experience providing administrative support in higher education, government or another organization with complex policies and procedures.
Experience with budget monitoring, financial transactions, purchasing, travel, payroll, hiring or related administrative processes.
Experience supporting course scheduling, curriculum processes, academic programs or faculty operations.
Demonstrated attention to detail and the ability to organize, prioritize, and complete multiple assignments accurately and on time.
Demonstrated ability to take initiative, solve problems, work both independently and collaboratively as a team, and adapt as procedures and responsibilities evolve and change.
Experience developing and maintaining accessible electronic records, shared files, process documentation or tracking systems.
Experience with Google Workspace, Microsoft Word and Excel, and enterprise systems, financial, human resources and/or student information systems.
This position is generally in a normal indoor office setting with minimal noise levels and may involve bending, moving, lifting, and carrying materials that weigh up to 15 pounds.
