Job description

High Point University is seeking an Advancement Data Specialist to join the Office of Institutional Advancement (IA). This entry-level position is responsible for maintaining IA systems through data updates, changes, and cleanup, as well as extracting data to support a variety of list requests from the IA database. These functions are essential to the successful administration of the University's fundraising efforts.
This position also serves as a backup for other key Advancement Services functions, including gift processing and statistical reporting.

QUALIFICATIONS:

Education

  • Undergraduate degree from an accredited college or university preferred.

Experience and Training

  • A minimum of one to two years of experience with Raiser's Edge, a comparable fundraising system, or a relational database is required;
  • A minimum of one to two years of experience with data management, manipulation, or cleanup is required;
  • Strong experience using Microsoft Office software is required.

Knowledge, Skills, Ability:

  • Knowledge of system databases, data elements, and data management;
  • Understanding of programming logic;
  • Strong analytical skills;
  • Proficiency in Microsoft Office computer applications (Word, Excel);
  • Strong communication skills;
  • Critical thinking abilities;
  • Strong attention to detail;
  • Ability to maintain confidentiality, utilize discretion and exercise good judgement.

ESSENTIAL FUNCTIONS:

  • Performs ongoing data maintenance of the IA database, ensuring accuracy and integrity on biographical, demographical, and education information;
  • Performs data synchronization with other offices to ensure accurate student, faculty, and staff records.
  • Incorporates changes and updates including, but not limited to returned mail, iarecordupdates, obituary finder, white pages, alumni finder, etc.;
  • Research ambiguous or incomplete updates to ensure constituent records are complete.
  • Cleans up and validates data as directed, including special projects;
  • Acquires data from primary or secondary data sources to incorporate changes or new data into the Raiser's Edge database;
  • Assists with management of external systems integrated with the Raiser's Edge CRM, including Salesforce Marketing Cloud, Omatic Cloud and Event Management software.
  • Designs and creates queries/exports for data extraction and ad-hoc list pulling for mailing lists, contact lists, geographical constituent lists, etc.;
  • Maintains and manages documentation regarding list criteria, obtaining appropriate approval before and after data extraction and sharing;
  • Contributes to team effort by assisting with other Advancement Services work as needed, to include gift logging, gift or profile/account processing, document imaging, event registration processing, scorecard processing, research, stewardship, etc.;
  • Identifies and defines new process improvement opportunities;
  • Assists in testing data as needed;
  • Assists in documentation and policy/procedure writing as needed;
  • Ensures accuracy of information by making revisions according to policies and procedures;
  • Communicates routinely and effectively with the Director of Data Analysis and Prospect Research.

ACCOUNTABILITY:

  • Ensures timely and accurate revisions to data, reporting, and processing.
