Referral Coordinator

At Ortho Sport & Spine Physicians (OSSP), we are passionate about delivering exceptional patient care and creating an outstanding experience for every patient who walks through our doors. We are currently seeking a highly organized, detail-oriented, and patient-focused Referral Coordinator to join our growing team!

The Referral Coordinator plays a vital role in ensuring seamless coordination of outgoing referrals for specialty services including chiropractic care, physical therapy, and neurology. This position is ideal for someone who thrives in a fast-paced environment, enjoys helping patients, and takes pride in maintaining accuracy and efficiency.

Key Responsibilities

  • Process and coordinate outgoing referrals to specialty providers including chiropractic, physical therapy, and neurology offices.
  • Maintain accurate and up-to-date patient referral records within company systems.
  • Ensure complete data integrity and accuracy throughout the referral process.
  • Provide exceptional customer service to patients, referral sources, and internal team members.
  • Answer questions regarding referral status, authorizations, scheduling, and documentation.
  • Perform referral data entry in a timely and thorough manner.
  • Maintain referral tracking logs, reports, and OneDrive documentation daily.
  • Conduct follow-up communication with patients and referral facilities to ensure continuity of care.
  • Collaborate closely with clinical and administrative teams to support efficient patient workflow.
  • Assist with additional administrative and operational duties as assigned.

Performance Expectations

At OSSP, we pride ourselves on excellence, accountability, and teamwork. Successful candidates will be expected to meet the following standards:

Referral Management Standards

  • Complete and maintain daily referral reporting requirements.
  • Keep Excel tracking sheets and referral documentation fully updated.
  • Upload all referral-related documents to the designated OneDrive folders promptly.
  • Follow up on at least 90% of referrals with both the patient and the receiving facility.
  • Ensure all referral information is entered thoroughly and accurately.
  • Provide daily updates to chiropractic, physical therapy, and neurology referral partners regarding patient appointment status via phone or email.
  • Successfully manage and process approximately 80โ€“100 referral requests per day.

Communication Standards

  • Handle inbound and outbound referral-related communication professionally and efficiently.
  • Maintain a minimum average of 50 calls per day.
  • Respond promptly to patients, referral facilities, providers, and internal team members regarding referral inquiries and updates.
