Confident Med Spa offers a team of highly skilled nurses and nurse practitioners, caring leadership, state of the art equipment, ongoing education, and opportunities to expand your skills. The company is seeking a Client Relations Coordinator to help the growing medical spa continue to provide the best client experience possible. The ideal candidate will be willing and able assist the provider team both in and out of treatment rooms. Position Summary
The Medical Assistant (MA) is a key clinical and operational team member supporting both in-office and telehealth services within our medical spa and functional wellness practice. This role integrates traditional medical assisting duties with functional medicine support, preventative health services, wellness coordination, and aesthetic care. The ideal candidate is patient-centered, tech-savvy, detail-oriented, and passionate about holistic, root-cause healthcare and aesthetic medicine.


Key Responsibilities
Clinical & Functional Wellness Support
  • Prepare patients for in-office and virtual functional wellness visits, including intake review, health history collection, and pre-visit coordination
  • Assist licensed providers (MD/DO, NP, PA, RN) with functional medicine evaluations, wellness exams, hormone therapy, weight management, IV therapy, peptide therapy, and preventative care services
  • Collect and document comprehensive patient data including vitals, body composition metrics, symptom questionnaires, lifestyle assessments, and medication/supplement lists
  • Perform phlebotomy, specimen processing, and lab preparation for functional and diagnostic testing (if certified)
  • Administer injections, vaccines, or medications within scope and training, per provider orders and state regulations
  • Ensure accurate, timely documentation in the EMR for both in-person and telehealth encounters
Telehealth & Virtual Care Coordination
  • Support telehealth and in office visits by assisting with patient onboarding, technology readiness, consent verification, and visit flow
  • Communicate provider instructions, care plans, lab instructions, and follow-up steps to patients before and after virtual visits
  • Coordinate lab orders, prescriptions, specialty testing kits, and results for telehealth patients
  • Assist with remote patient monitoring workflows, refill requests, and secure patient messaging under provider direction
  • Maintain HIPAA-compliant communication across telehealth platforms, phone, and electronic messaging systems
Aesthetic & Wellness Services Assistance
  • Support aesthetic and wellness services including laser treatments, body contouring, facials, IV hydration, hormone optimization, and weight loss programs
  • Educate patients on pre- and post-treatment care, lifestyle modifications, supplement protocols, and wellness plans as directed by providers
  • Assist with patient education related to nutrition, sleep, stress management, metabolic health, and preventative strategies within scope
  • Support retail operations through product education and inventory management for skincare, supplements, and wellness products
  • Maintain treatment room readiness, equipment calibration, and supply inventory
Patient Experience & Care Coordination
  • Deliver a high-touch, concierge-style patient experience for both in-office and virtual patients
  • Serve as a consistent point of contact throughout the patient’s wellness journey, supporting continuity of care
  • Answer patient questions within scope and escalate clinical concerns appropriately
  • Assist with scheduling, follow-up coordination, referrals, and patient retention initiatives
  • Support front desk and administrative workflows as needed to ensure seamless operations
Safety, Compliance & Quality Assurance
  • Adhere strictly to OSHA, HIPAA, infection control, laser safety, and functional medicine protocols
  • Support quality assurance initiatives, chart audits, and safety documentation
  • Maintain cleanliness, disinfection, and stocking of all treatment and clinical areas
  • Participate in ongoing training, competency assessments, and interdisciplinary team meetings
Requirements:
  • High School Diploma
  • Medical Assistant Certification or relevant on the job training
  • Ability to use various computer systems such as Microsoft products and point-of-sales systems
  • Candidates must have a minimum of 2 years customer service experience
  • Strong communication, high attention to detail, and rapport-building skills
