Here below is summary of Job Duties for the Customer Service Representative (CSR).
- Support Regional Sales Manager (RSM) and Inside Sales Manager (ISM) by providing excellent customer service to direct customers, distributors and/or manufacturer’s representatives.
- SAP system: order entry, order confirmation, commercial invoice (CI), packing list (PL), maintenance.
- AF system: shipment slip approval, customer general data form and sales order.
- Microsoft TEAMS/Outlook: effective communication internally within Song Chuan, participating and creating meetings.
- Monitor the Shipping Process (DN) for the assigned accounts (ASN) and lead the problem-solving process.
- Enter sample orders.
- Answering and supporting customers via phone as back-up to Team ISM.
- Build and maintain rapport with customers by communicating professionally, friendly, and with empathetic tone.
- Escalate issues to ISM and / or RSM as appropriate
- Assist the warehouse with issues related to customers’ shipments as required.
- Forward quality-related requests with the appropriate person in the SCPA team. EX: (RoHS, REACH, USMCA, PPAP, PCN, PSW, Conflict Materials, Prop65, Code Conducts, Sustainability Surveys).
- Resolve Shipment disputes with customers i.e. wrong parts shipped, incorrected quantity etc.
- Gather and evaluate delivery performance to customers
- Coordinate returned materials-related requests with the appropriate person in the SCPA team
- Provide consumption requests to material planner.
- Ensure customer requirements and supply commitments are in line with commercial agreements, escalating issues as required
- Cross-Training for Backup Support (2 ISMs)
- Participate in training and development programs as required.
- Understanding and complying with the requirements of the IATF standard.
- Understanding KPMG (Auditor) approved processes requirements and compliance.
- Understanding of freight Incoterms (EXW, FCA, DDP, CIF, FOB), applicable import duties and payment terms (NET 30,45,60, Prepaid).
- Participate in and contribute to Continuous Improvement process
Product Knowledge
→ Familiarity with series descriptions such as “Mini, Power mini, ISO, sugar cube, etc.”
→ Able to understand discontinued series and advise customer (888-507, 835-307)
→ Know where products are being manufactured (XMN, TWN, MX, VT)
→ Understand connectors and sockets (Custom Connectors parts).
Candidate must have Customer Service experience with parts and entering orders.
