Position Purpose:

Plimpton & Hills is seeking a Commercial HVAC Estimator / Inside Sales Support professional to prepare accurate and competitive estimates for commercial HVAC projects. This role is responsible for performing detailed take-offs from blueprints, plans, and specifications, developing quotations and submittals, and supporting our commercial sales team throughout the bidding and project lifecycle.

The Commercial HVAC Estimator works in a fast-paced, deadline-driven environment and collaborates closely with contractors, engineers, manufacturers, vendors, and internal sales teams. This position is ideal for candidates with HVAC industry experience who are career-oriented and interested in advancement opportunities within commercial sales, estimating, project management, or sales leadership.

Essential Functions:

  • Perform commercial HVAC take-offs from blueprints, construction drawings, plans, specifications, and project bidding platforms.
  • Prepare accurate and competitive estimates for HVAC equipment, materials, and systems.
  • Estimate and price commercial new construction, renovation, replacement, retrofit, and design-build projects.
  • Develop detailed quotations, bids, proposals, and submittal packages.
  • Review project documents to ensure a complete understanding of project scope, specifications, and requirements.
  • Coordinate with manufacturers and vendors to obtain pricing, equipment selections, technical information, and lead times.
  • Support inside and outside sales representatives throughout the quote, bid, and project award process.
  • Maintain CRM systems and customer records, documenting sales activities, bid opportunities, project updates, and customer communications.
  • Participate in sales meetings and collaborate with the commercial sales team on business opportunities and project strategies.
  • Manage multiple projects simultaneously while meeting strict bid deadlines.
  • Provide responsive support to mechanical contractors, engineers, project managers, and customers.
  • Ensure all work meets company standards for accuracy, quality, customer service, and profitability.

Requirements

 Experience, Education & Skills:

  • HVAC degree, technical training, and/or equivalent HVAC industry experience.
  • Two (2) or more years of experience in commercial HVAC estimating, inside sales, project coordination, mechanical construction, or a related field preferred.
  • Experience working with commercial contractors, engineers, architects, consulting engineers, and construction documents strongly preferred.
  • Experience with commercial construction projects, bid processes, and plan-and-spec work is highly desirable.

Technical & Computer Skills:

  • Ability to read and interpret blueprints, plans, schedules, specifications, and construction documents.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
  • Experience using estimating software, construction bidding platforms, ERP systems, order-entry systems, and CRM platforms preferred.
  • Familiarity with commercial HVAC products, equipment, and mechanical systems.
  • Knowledge of commercial HVAC equipment including rooftop units (RTUs), split systems, heat pumps, air handlers, chillers, boilers, VRF systems, controls, and related accessories preferred.
  • Experience using Customer Relationship Management (CRM) platforms such as Salesforce, HubSpot, Microsoft Dynamics, NetSuite CRM, or similar systems preferred.
  • Ability to analyze product specifications, equipment selections, and technical submittal requirements.
