Job description

Our Corporate group is currently looking to add a Small Tools Administrator to our growing team, based out of our head office in Edmonton, AB.

Reporting to the Support Services Manager – Small Tools, we are seeking an organized and detail-oriented administrative professional with strong systems and data management skills to support the efficient operation of tools and equipment across the organization. This is a dynamic, hands-on role that requires a proactive self-starter capable of managing multiple competing priorities with accuracy, consistency, and operational discipline.

Duties and Responsibilities

Administrative / Coordination Support

  • Provide administrative support to Small Tools leadership, ensuring day-to-day activities are aligned with overall Small Tools strategy and corporate processes and standards
  • Track action items arising from meetings and operational reviews, ensuring commitments are fulfilled across teams in a timely manner
  • Identify and address issues proactively, managing them through to resolution with minimal escalation

Financial & Procurement Administration

  • Review, code, and process purchase orders and invoices in accordance with established procedures, including vendor setup; investigate and resolve invoice errors and discrepancies with vendors and internal stakeholders
  • Procure and manage inventory of Personal Protective Equipment (PPE) and Fire Retardant (FR) clothing, including tracking and replenishment

Asset & Systems Management

  • Create, update, and maintain asset records within ToolWatch, ensuring data integrity and completeness; monitor tool tracking including current test date requirements and associated compliance documentation
  • Process asset disposals and inter-company and inter-regional transfers, including preparation of all required documentation

Reporting & Documentation

  • Support financial and operational reconciliations, asset summaries, and variance analyses; compile and distribute tool performance and status reports to relevant stakeholders
  • Coordinate management of policy documentation, certificates of insurance, and claims administration at the corporate level; maintain document control systems ensuring records are current, organized, and accessible

Requirements

  • High School Diploma or equivalent
  • 3 years of experience in an administrative, coordination, or asset management role
    • An equivalent combination of relevant education and experience may be considered
  • Advanced proficiency in Microsoft Office Suite with expert-level Excel capability

Preferred Skills / Qualifications

  • Post-Secondary education in a related field
  • Working knowledge of JDE or similar ERP platforms
  • Familiarity with ToolWatch asset management software
  • Experience with AI-assisted tools or automation in an administrative context
  • Previous experience in a construction, fleet, or asset management environment
