Job description

Summary / Objective

We are seeking a highly organized and proactive Administrative Assistant to join our team. This individual will play a crucial role in supporting both the Office Administrator and the Human Resources Department. The Administrative Assistant will be responsible for performing a variety of administrative tasks to ensure the smooth operation of our office environment while also supporting HR-related activities. The successful candidate will be a key asset in fostering a productive and welcoming workplace.

Essential Functions

Administrative Support:

- Assist the Office Administrator with daily office operations.

- Provide general administrative support such as filing, data entry, answering phone calls, and managing correspondence.

Human Resources Support:

- Assist with the recruitment process, including posting job ads, scheduling interviews, conducting interviews for entry-level positions, and preparing hiring documents.

- Assist with processing terminations.

- Support the onboarding process for new hires by coordinating orientation schedules and preparing onboarding materials.

- Maintain confidential employee records and ensure they are up to date.

- Assist in coordinating HR-related meetings and training, including logistics, materials, and follow-up actions.

Meeting and Visitor Support:

- Help prepare the office for customer visits and meetings, ensuring a professional and welcoming environment.

- Organize and prepare for HR and administrative meetings, including drafting agendas, taking minutes, and tracking action items.

- Assist in arranging meeting rooms, refreshments, and materials required for presentations.

- Greet and assist visitors, contributing to a positive first impression of the company

Process Improvement:

- Work closely with the Office Administrator and HR Department to identify and implement process improvements to enhance office and HR operations.

Marketing & Communication Support:

- Collaborate with the Office Administrator on marketing and communication projects by obtaining marketing materials for initiatives and ensuring proper company branding.

- Assist with the creation and preparation of materials - slides and proposals, including proofreading and copying/binding

- Assist with special projects and initiatives as required.

PPE requirements and Safety Rules

Eye protection is required everywhere in the plant

Hearing protection is required when crossing the blue lines that are painted on the floor, heading towards the machine

Safety-toed shoes or boots are required everywhere in the plant.
