Job description

We are looking for a reliable, organized, and detail-oriented CRM Administrative Secretary to join our construction company.


The main responsibility of this position is to keep our CRM system organized and up to date, maintain accurate customer and project records, and make sure invoices, payments, documents, and communication are properly recorded.


The ideal candidate is highly organized, comfortable working with CRM software, and able to follow up on details without needing constant supervision.


Responsibilities

Manage and maintain our CRM system on a daily basis

Update customer information and project details

Enter and organize invoices and payment information

Track customer payments and outstanding balances

Maintain a complete paper trail for every customer and project

Upload and organize documents, invoices, receipts, and other project records

Keep customer files accurate and organized

Update project status and important notes in the CRM

Record customer communications and follow-ups

Make sure all relevant information is documented properly

Follow up on missing invoices, payments, or documents

Coordinate information between customers, project managers, contractors, and the office

Help keep administrative operations organized and running smoothly

Identify missing or incorrect information and make sure it gets corrected

Requirements

Previous administrative or office experience

Experience using CRM software

Strong computer and data-entry skills

Excellent organizational and attention-to-detail skills

Good written and spoken English

Ability to manage multiple customers and projects at the same time

Reliable and responsible

Able to work independently

Experience in construction, remodeling, property management, or a similar industry is a plus

Preferred Experience


Experience with Close CRM or similar CRM platforms is highly preferred.


Experience working with invoices, payments, customer records, and construction projects is also a major advantage.

We need someone who will take ownership of the administrative side of our CRM and make sure nothing gets missed.


If a customer has an invoice, payment, document, conversation, or important project update, it needs to be properly recorded and organized.
