Integrated Fundraising Coordinator

POSITION SUMMARY - This position is based in Arlington, VA
Reporting to the Managing Director of Integrated Fundraising and Engagement, the Integrated Fundraising Coordinator serves as the primary contact and liaison for all Annual Giving donors. This role is central to delivering a high-quality donor experience through responsive communication, thoughtful stewardship, and efficient coordination of donor engagement activities.
The Coordinator manages multiple donor-facing communication channels and must be comfortable interacting directly with donors and the public. The role supports donor stewardship through thank-you calls, emails, and written correspondence. The Coordinator ensures timely and accurate donation acknowledgments and assists with donor welcome packets and other departmental mailings.
This position supports integrated fundraising efforts across digital and direct mail channels, contributes to Midlevel fundraising activities, and may provide support to broader marketing functions within the Division. A successful candidate brings strong communication, customer service, organizational, and project coordination skills to support a seamless donor journey.
RESPONSIBILITIES
Fundraising and Stewardship:
  • Draft thank-you notes, emails, and other correspondence.
  • Execute the donor acknowledgments process on a bi-weekly basis by managing the data and working with an outside vendor to finalize printed materials and mailings.
  • Provide donor support through our 1-800 phone number and community e-mail inboxes, answering calls and e-mails and coordinating inquiries.
  • Review lockbox files on a weekly basis to address donor comments and requests.

Reporting, Tracking, and Operations:
  • Maintain and update donor records and communication tracking in Raiser's Edge.
  • Generate and manage mailing lists to support fundraising and stewardship activities.
  • Track donor interactions and ensure accurate documentation of communications across systems.
  • Partner with the Operations team to track fundraising budgets and monitor expenses.
  • Manage the account deduping process in EveryAction.

Administrative:
  • Schedule meetings, draft agendas, take meeting notes, make travel arrangements, process invoices, and complete expense reports.
  • Track department inventory like donor swag, paper products, etc., and order additional stock as needed.
  • Assist in the creation of PowerPoint presentations for internal and external use.
  • Other duties as assigned to support the Managing Director and the Marketing and Communications Division.

Other duties as assigned by the supervisor.
WORKING CONDITIONS
  • Hybrid office arrangement, 2-3 days in the office each week.
  • Typical office environment.
  • Flexibility in work schedule to accommodate time differences with HQ and field programs may be necessary.
  • Occasional travel could be required to support fundraising efforts.

QUALIFICATIONS
Required
  • High School Diploma or equivalent.
  • 2 to 4 years of related work experience.
  • Proficiency in Microsoft Office applications and basic computer operations.
  • Excellent verbal and written communication skills, with confidence engaging donors and the public.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
  • Ability to work both independently and collaboratively in a multicultural, diverse, and fast-paced work environment.
  • Ability to work effectively as a member of a geographically dispersed team and to communicate with staff at off-site locations.
  • Ability to handle sensitive donor information with discretion and care.

Preferred
  • Experience with Raiser's Edge or another fundraising database.
  • Experience with the EveryAction fundraising platform or an equivalent.
  • A demonstrated passion for and interest in conservation and human development issues.
  • A Bachelor's degree in a related field or up to four years of college-level work.
