Job description

Description We are looking for an entry-level Secretary to provide clerical, mathematical, and computer support to the Chief Deputy and Commissioner of Revenue. This position assists with a variety of administrative duties and provides essential support to the daily operations of the Commissioner of Revenue's Office. What You'll Do: As a Secretary, you will: Create and update the Commissioner of the Revenue and Chief Deputy's calendars of all staff scheduled leave, internal and external meetings, classes, events, etc.

Answer telephone calls and respond to inquiries or direct to appropriate staff. Greet the public (taxpayers, visitors, other County personnel, etc.) as they enter the office, ascertain the assistance sought, directly respond, or direct the visitor to the appropriate staff. Assist residents and taxpayers seeking information and submitting filings

Oversee listing of internal and external meetings, conferences, classes, etc. Handles all staff registrations and travel logistics for attendance. Manages office supply inventory by handling requests and purchasing necessary items.

Records, updates, and tracks all budget information for Commissioner's expenditures using Excel. Reconciles bank statements and AS400 information. Assists with budget forecasting.

Handles incoming and outgoing mail. Prepares various correspondence. Scans documents and creates files in Laserfiche.

Preliminarily assists taxpayers with updates to account records during billing seasons. Enters and follows up on maintenance requests. What We're Looking For: Must possess a high school diploma or GED equivalent.

Entry-level clerical and computer experience in a professional office environment is preferred. Supplemental Information Physical Demands: The position requires moderate physical activity, including walking, sitting for extended periods, standing, stooping, kneeling, bending, reaching, and gripping. The ability to lift and carry materials weighing up to 20 pounds is required.

Effective verbal communication, hearing, and visual acuity are necessary to perform the essential functions of the position. Work is performed primarily in an office environment with moderate noise and minimal exposure to environmental hazards. Environmental Conditions: Work is primarily performed in a heated and air-conditioned office; however, at times, required to walk outside to the US Postal Office.
