Job description

Childrenโ€™s Harbor is seeking a dynamic, dedicated, self-starting Training Program Assistant (TPA) to join the Community Training Department in our Norfolk, VA Corporate Headquarters. This is an entry-level position allowing the TPA the ability to work independently and coordinate administrative and operational tasks while assisting the Community Training and Professional Development (CTPD) office. The TPA is responsible for the coordination, facilitation, and implementation efforts of professional development activities and community partnerships. This is an administrative support role and is integral to the successful work of the training department. The TPA administers with the United Way Emergency Voucher program as well as the Adult Literacy program. The Training Coordinator reports to the Community Training & Professional Development Director (CTD).

What Your Day Will Look Like:

  • Provide assistance to the Community Training team, including the Infant-Toddler Network staff
  • Manage administrative and facilitation/implementation tasks for affiliated community trainings
  • Utilize computer program skills to assist with creating marketing materials (i.e. flyers, e-blasts)
  • Market/Promote professional development opportunities across the agency and community
  • Handle pre-registration/registration tasks and troubleshoot any issues as they arise
  • Participate in community meetings/trainings, representing the agency, both virtually and in-person
  • Disseminate evaluations/surveys and certifications to workshop participants
  • Collect and record data to informs funders; solicit new and sustained partners
  • Market, develop and maintain Early Childhood Education (ECE) membership database
  • Maintain budget information and department billing
  • Build and maintain community partnerships and relationships with childcare programs/providers
  • Participate in various training and youth-related committees/initiatives
  • Help to coordinate and administer the Adult Literacy Program
  • Administer and maintain database for Emergency Voucher Assistance program
  • Assist with all correspondence, reports and written materials for CTD
  • Assist with the preparation and dissemination of department newsletter, weekly E-bulletins and other training and marketing materials
  • Supervise/screen incoming telephone calls for training office; backup for corporate office
  • Maintain CTD reports, files and equipment
  • Maintain department calendar and office deadlines
  • Provide center support and assist with agency in-service events, where needed/as able
  • Participate in and assist with special community events and other agency events
  • Other related duties, as assigned

Who You Are:

  • Possess an effective, working knowledge of coordinating activities and projects
  • Capable of thinking and acting independently with minimal supervision
  • Ability to prioritize multiple projects and adapt to changing scenarios and circumstances within a complex, fast-paced office environment
  • Comfortable building and maintaining professional relationships and community collaborations
  • Strong computer skills to include expertise with Microsoft Office Applications and various publishing/design software
  • Flexible with working some evenings and weekends as needed

What You Need:

  • 1-3 years of serving in an administrative, operations or coordinator role, preferred.
  • Planning and prioritization skill set coupled with a strong work ethic
  • Strong interpersonal, written and listening skills
  • Background working within a non-profit/education environment is highly preferred
  • Reliable transportation with the willingness to drive within the community
