Job Title: Billing Representative

Reports To: Billing Lead

Status: Full Time

Work Hours: M โ€“ F, 8:00 am โ€“ 4:00 pm

Overtime Status: Non โ€“ exempt

Job Summary: This is an entry level position in the in-house Billing Department. Staff in this position will defer to the Team Lead for guidance. The ideal candidate will be willing to learn Internal Medicine Associates, LLC (IMA) way of operating billing functions, master these processes, and provide observations for improvement and efficiency in the journey. A student mentality and team orientated/organization advancement mindset are ideal for the candidate. Additionally, we value what you bring to the position, such as:

Essential Job Duties - This includes (but is not limited to):

โ€ข Take directions and follow instructions with accuracy and attention to detail

โ€ข Complete daily assignments including, but not limited to:

o Verify insurance coverage and benefits for patients via insurance portals and by telephoning insurance companies.

o Complete Prior Authorization of Insurance for all scheduled outpatient procedures and outgoing services requested by IMA providers

o Provide service estimate letters upon patient requests

o Generate and send out Good Faith Estimate letters to out of network and self-pay patients

o Monitor your assigned tasks and keep your Team Lead notified if you need assistance or are able to take on more tasks

o Monitor and work the Medicaid Travel task list in Intergy, our EHR, to ensure timely communications with patients for their Medicaid travel needs

o Monitor the Medicaid Travel voice mailbox using software and phone throughout the day, directing messages appropriately

o Assist Billing Lead with monthly insurance and patient refunds

o Prepares legal documents, as required to Process billing department mail daily

o Complete daily front desk payments deposit and commercial insurance deposit preparation, uploading commercial packet to Internal Medicine Associatesโ€™ third-party billing team

o Process patient payments via the online payment platform if third-party billing team is unavailable

o Other duties assigned

โ€ข Participate in annual employee trainings offered by Internal Medicine Associates and the OSHA Health and Safety Program

Secondary Job Duties โ€“ This includes (but is not limited to):

โ€ข Maintain a neat and professional appearance as specified in the employee handbook under the dress code policy

โ€ข Maintain a clean and organized workspace

โ€ข Participate in department meetings, monthly and/or when they are scheduled

โ€ข Participate in performance reviews at 90-days, and annually thereafter

Required Education: High school diploma or GED

Preferred Experience: One yearโ€™s experience with:

โ€ข Knowledge of general office procedures.

Equipment Operated: Standard office equipment with emphasis on telephone, fax, photocopier, and computer hardware/software.

Work Environment: Work performed in a medical office environment that is well lit and well ventilated. Work may be stressful due to a busy office. This position involves continual interaction with other IMA personnel and with patients, both face-to-face, through means of written correspondence, and on the phone.

Physical & Mental Requirements: Manual dexterity for office machine operation including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines. Must possess the physical and mental abilities to perform the tasks normally associated with a Front Office Lead such as some walking, bending, and reaching. Repetitive use of computer may lead to nerve damage without ergonomic measures. Occasionally stress from dealing with patients with appointment and/or experience issues.

Position Type/Expected Hours of Work

This employee must be available during the work hours of 8:00 am and 4:00 pm, Monday through Friday, and is scheduled to work 40 hours each week to satisfy the needs of this position. Occasional overtime work may be required as job duties demand, per Supervisor authorization and direction.
