Job description
Under general supervision of a School Site Administrator or designee, the Student Enrollment and Data Specialist performs specialized duties related to student attendance monitoring, enrollment processing, recruitment tracking, student records management, and student information system data integrity; utilizes data analytics tools, digital reporting platforms, and District-adopted information systems to support student enrollment, retention, and attendance improvement efforts; and serves as the site-level coordinator for student data accuracy, records compliance, and technology-enabled reporting.
Supervision is received by the School Site Administrator or designee. This position may provide functional direction and workflow coordination to entry-level clerical staff assigned to support student enrollment, attendance, and data management functions but does not exercise formal supervisory authority.
This classification is distinguished from the School Office Manager by its primary responsibility for student attendance monitoring, enrollment processing, student records management, and student information system (SIS) data integrity, reporting, and compliance. Incumbents serve as the site-level technical lead for student data systems and are responsible for ensuring the accuracy, consistency, and reliability of student information across District-adopted platforms.
Incumbents are expected to utilize digital systems, reporting dashboards, and data analysis tools to identify trends, support attendance improvement efforts, and ensure compliance with applicable laws, regulations, and District procedures. This classification requires a high level of technical proficiency in student information systems and the ability to independently audit, reconcile, and validate data across integrated systems.
This classification does not perform confidential personnel, payroll, purchasing, or site administrative operations functions, which are assigned to the School Office Manager. While incumbents participate in cross-training and may serve as procedural backup to the School Office Manager to support continuity of site operations, such duties are performed on a limited basis and do not constitute the primary or ongoing responsibilities of this classification; primary responsibilities for administrative operations remain with the School Office Manager.

- Provides high-quality customer service to students, families, staff, and community members by fostering a welcoming, solution-oriented, and culturally responsive school environment; responds to phone calls, visitors, and electronic communications in a timely manner with a sense of urgency and professionalism; models respectful and clear communication; and ensures that all interactions reflect the District's commitment to student success, accessibility, and family engagement.
- Monitors daily attendance using digital dashboards and reporting tools; identifies chronic absenteeism trends and generates analytical reports for administrative review.
- Initiates and documents attendance-related communications using electronic communication platforms and case tracking systems.
- Monitors, inputs, and maintains student discipline data, including suspensions, expulsions, and related actions, within the Student Information System (e.g., Aeries); ensures accuracy, timeliness, and alignment with District policies and reporting requirements.
- Processes enrollment, registration, transfers, and withdrawals through electronic systems; verifies documentation completeness and digital record accuracy.
- Maintains and updates student demographic, scheduling, teacher assignment, and program data within District-adopted student information systems (SIS); ensures accuracy and alignment of class rosters and staff assignments.
- Coordinates with the Information Technology Department to ensure the integrity, accuracy, and timely updating of student and teacher data within the Student Information System.
- Collaborates with Special Education staff and the Special Education Information System (SEIS) team to ensure consistency and alignment between SIS and SEIS data, including student program participation, service indicators, and placement information; identifies discrepancies and facilitates timely corrections.
- Inputs, maintains, and updates the annual and summer master schedules within the Student Information System as developed by site administration and counselors including course sections, student placement, and staff assignments, ensuring accuracy and alignment with program requirements established by site administration and counselors.
- Develops and executes system queries and reports to support student data analysis, graduation tracking, enrollment monitoring, compliance reporting, and site planning.
- Ensures data integrity across student information systems and the California School Dashboard by performing regular audits, identifying discrepancies, and coordinating corrections to maintain accurate, compliant, and reliable student data.
- Prepares digital documentation for audits and internal reviews; corrects routine data discrepancies.
- Maintains, verifies, and manages student cumulative and academic records, including grades, credits, transcripts, and historical data, in both electronic and physical formats in accordance with applicable laws, regulations, and District procedures; ensures secure storage, accurate documentation, timely updates, and proper transfer of records.
- At secondary sites, processes and maintains student transcripts and academic records within the Student Information System; supports counselors and administration with graduation eligibility verification and identification of deficiencies.
- Supports implementation of new student data technologies and participates in ongoing system training.
- Serves as a site-level subject matter resource for student records and data reporting processes, ensuring accuracy, consistency, and compliance across all student information systems and reporting processes.
- Provides direction and training to entry-level clerical staff assigned to support student enrollment, attendance, and data management functions to ensure accuracy, consistency, and compliance with applicable requirements.
- When summer school or other supplemental programs are assigned to the site, the Student Enrollment & Data Specialist serves the site-based program including student enrollment, scheduling, and attendance processing.
- Participates in cross-training and serves as procedural backup to the School Office Manager for essential site administrative functions during absences or operational needs, consistent with established guidelines; maintains sufficient working knowledge of payroll coordination, substitute systems, and site office procedures to ensure continuity of operations while the School Office Manager retains primary responsibility for fiscal, personnel, and administrative support functions.
- Perform other related duties as assigned that are appropriate within the professional capacity of the Student Enrollment & Data Specialist classification.

- Two (2) years of increasingly responsible clerical or technical experience involving student records, attendance systems, student information systems (SIS), or data management in an educational or comparable environment, including demonstrated proficiency with digital systems and data reporting tools.
Technology Competency Requirement(s):
- Demonstrated proficiency in student information systems (SIS), digital reporting tools, data query functions, and electronic recordkeeping platforms.
- Ability to analyze system-generated data, identify discrepancies, and coordinate corrections across integrated systems is required.
Licenses and/or Certificates:
