Seeking someone proactive and detail-oriented with excellent written communication skills to be my personal assistant. To be blunt, I'm looking for a perfectionist who loves taking care of people and making sure things are done the right way. Hourly rate $15-$25 per hour.

Summary:

  • This is not an entry-level position. You MUST have at least two (2) years of experience as an executive/personal assistant for a business owner.
  • This is a Part-time position 10-15 hours per week, if we work well together, this will likely increase to more hours per week.
  • Expect to get several assignments daily, many of which include tasks that must be done that day.
  • You'll handle both my business and personal details, including scheduling, customer support requests, uploading blog posts, managing social media, and making personal appointments.
  • You may deal with clients and vendors, so you must have a nurturing, professional personality and the desire to treat everyone like family.
Job Description
  • Manage daily calendar, arrange calls/meetings/appointments while making sure all details are handled in a professional and organized manner.
  • Manage websites, manage member's area on Kajabi (includes uploading videos), scheduling and composing emails in Drip, and scheduling social media posts IG, FB, Twitter, etc.
  • Create new tools/systems/lists to work more efficiently and/or automate with software.
  • Make arrangements for travel, activities, restaurants and main attractions (US and International).
  • Assist with monitoring my inbox alerting me of action items or urgent matters, prepare replies to clients, employees, vendors, and business contacts.
  • Research and be the point person for service providers and vendors for personal and work projects.
  • Sorting, prioritizing mail and paying invoices/bills
  • Handling shopping, returns & exchanges for various items online and in-person for clothing, furniture, supplies, etc.
  • Organize tasks and projects in Asana.
  • Composing and scheduling marketing emails in drip, mail chimp, etc.
  • Troubleshoot office equipment and track/maintain supplies
  • Take and style pictures for social media and website
  • Other duties as assigned.
Qualifications
  • Ability to manage multiple incoming requests, while ensuring they are relayed or handled at the appropriate time, in the necessary order and in the correct manner.
  • High level of experience with Google Apps, Asana, Wix and Squarespace.
  • Knowledge of Drip or similar email marketing application.
  • Ability to quickly learn new software applications.
  • Capability to set up new systems, automations, and processes in order to streamline business and personal functions.
  • Desire to learn and grow, refusal to make the same mistake twice.
  • Ability to pro-actively anticipate and spot new tasks that you can take over.

  • Must be able to pass a criminal background & credit check
  • At least two (2) years of experience directly supporting a business owner.
  • Ability to handle several emails and requests per day.
  • Exceptional ability to OVER-communicate progress on multiple projects.

  • Must be reachable during the hours of 8am-6pm Eastern and respond to messages within 2 hours.
  • Top notch communication via email and phone, internally and with customers.
  • Proven ability to prioritize tasks.
  • Perfectionist, super attention to detail, paranoid enough to catch mistakes before they become an issue.
  • Must be a self-starter who is extremely motivated and able to work independently with minimal oversight.
  • Must be comfortable developing and working relationship and having limited amount of face-time.
