ABOUT THIS ROLE

We are looking for a highly organized and proactive Events & Project Coordinator to join our growing Administrative Support Team. In this entry-level role, you will be an integral part of the day-to-day operations of three offices in planning and executing events, supporting cross-functional projects, and providing general administrative assistance to non-executive staff. This is an excellent opportunity for someone early in their administrative career who is eager to grow, learn, and make an immediate impact.

This position is based out of our Chicago office and will have occasional travel up to 10%.

You'll be responsible for:

Event Planning & Coordination

  • Plan, coordinate, and execute internal events across three office locations, including team meetings, all-hands sessions, celebrations, and off sites

  • Manage event logistics from start to finish: venue coordination, catering, invitations, A/V setup, and post-event wrap-up

  • Maintain an events calendar and proactively communicate details to relevant stakeholders

  • Partner with the Executive Assistant on larger-scale events requiring elevated coordination

Project Coordination Support

  • Assist in tracking and organizing project timelines, deliverables, and follow-ups for ongoing initiatives

  • Support the Sr. EA / Program Manager with operational tasks related to capacity planning and team projects

  • Prepare meeting notes, action item lists, and status summaries as needed

  • Help maintain team documentation, shared drives, and process resources

General Administrative Support

  • Provide day-to-day administrative assistance to non-executive staff across teams

  • Handle ad hoc requests including scheduling assistance, document preparation, supply ordering, and space coordination

  • Serve as a point of contact for interoffice operational questions and logistical needs

  • Support onboarding logistics for new team members

YOUR EXPERIENCE
  • 1+ year of experience in an administrative, coordinator, or office support role

  • Strong organizational skills with the ability to manage multiple tasks simultaneously

  • Excellent written and verbal communication skills

  • Proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides)

  • A collaborative, team-first attitude with a willingness to take on a variety of tasks

  • Attention to detail and a proactive approach to problem-solving

Nice to Have

  • Experience planning in-person events or off-sites

  • Familiarity with project management tools (e.g., Asana, Monday.com, Notion)
