Infrastructure Coordinator & Administrative Assistant

Position Summary

InfoWest is looking for an organized, dependable Infrastructure Coordinator & Administrative Assistant to support our Infrastructure Operations team. This role provides day-to-day administrative and office support for the team responsible for our fiber construction, splicing, drill crews, and tower operations — keeping schedules, records, and communications running smoothly so our field teams can focus on building and maintaining our network.

This is a great fit for someone who is detail-oriented, comfortable juggling multiple priorities, and enjoys being the reliable point of contact that keeps a busy team organized.

Job Functions

  • Permitting
  • Blue Stakes
  • Assist with labor & job costing
  • Assist with organizing projects
  • Assist with ordering materials
  • Assist Project Managers
  • Assist with scheduling
  • Work with crew members on questions, organization, and scheduling of projects
  • Track OSHA regulations, safety meetings, Rocky Mountain Power Construction standards, and NESC standards

Key Responsibilities

  • Provide general administrative support to the Infrastructure Operations team, including filing, data entry, and document management
  • Answer phones, respond to correspondence, and route inquiries to the right team member
  • Help maintain accurate records related to crew schedules, project tracking, and field reporting
  • Assist with preparing reports, spreadsheets, and internal communications for Infrastructure leadership
  • Coordinate meeting logistics, calendars, and follow-up action items
  • Support onboarding paperwork and basic HR/administrative coordination for field staff as needed
  • Order and track supplies, equipment paperwork, or vendor documentation as directed
  • Other administrative duties as assigned

Qualifications

  • Ability to multitask
  • Ability to follow up and ensure timely completion of projects and tasks
  • Construction experience a plus but not required
  • Grant and/or government programs experience a plus, not required
  • Customer service experience a plus
  • Excellent communication skills
  • Critical thinking and problem-solving skills
  • Open to all forms of communication
  • Basic knowledge of computers, Word, Excel, Google Docs
  • Experience with software programs such as Sonar, Busy Busy, and ClickUp a plus
  • Experience using AI tools for reporting
  • Must be able to pass a background check and have a valid drivers license.
