About the Role:
The Surgery Scheduler plays a vital role in coordinating and scheduling surgical procedures for patients in both office-based and hospital settings. Reporting to the Site Manager, this position requires clinical knowledge, organizational efficiency, attention to detail, and strong communication skills. The Surgery Scheduler ensures proper documentation, timely scheduling, and coordination with patients, providers, vendors, and facilities to maintain a seamless surgical experience.
What You'll Do:
Scheduling & Coordination:
  • Contact patients within 24 hours of receiving surgery orders.
  • Schedule procedures with the provider, facility, anesthesia, and vendors as required.
  • Complete all pre-operative documentation including scheduling forms, consents, H&Ps, and disclosures.
  • Confirm surgery details with patients and communicate pre- and post-op instructions.
  • Ensure medical clearance and pre-surgical testing are obtained.
  • Coordinate with providers and facility teams to ensure case readiness.

Insurance & Authorization:
  • Verify patient insurance benefits.
  • Provide patients with cost estimates for surgeon's fees.
  • Obtain necessary prior authorizations and pre-determinations.

Administrative Support:
  • Triage incoming calls to the surgery department.
  • Collaborate with physicians and team members to streamline surgical processes.
  • Respond to schedule changes and patient inquiries in a timely manner.
  • Assist the surgery team and complete additional duties as assigned by leadership.

Qualifications & Requirements:
  • Minimum one year of customer service experience required.
  • Prior experience in medical scheduling or similar office role preferred.
  • Knowledge of medical terminology and insurance processes.
  • Experience verifying benefits, including deductibles, coinsurance, and out-of-pocket limits.
  • Ability to work in a fast-paced clinical environment.

Work Environment & Physical Expectations:
  • On-site role in a clinical office setting.
  • Monday-Friday, daytime schedule; occasional after-hours meetings may be required.
  • Ability to sit for extended periods, move throughout the office as needed, and perform light lifting; manual dexterity required for frequent computer and phone use.
