This position has an end date of December 24, 2027.

Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at North Campus, Edmonton.

Under the direction of the Assistant Registrar, Enrolment Services, the University Calendar Editor serves as leader for the Calendar including web content management activities and serves as an expert resource to the Registrar's Office staff, Office of the Provost, University Governance, Faculties and Departments regarding the development and production of the Calendar including serving as the first point of contact and subject matter expert for 80+ Faculty and Department Calendar Contacts.

The Calendar Editor is responsible for reviewing, updating and tracking all Calendar changes. These include all Programs Committee (PC), Committee on the Learning Environment and Student Affairs (CLESA), GFC Executive (GFC Exec), General Faculties Council (GFC), Board Learning, Research and Student Experience Committee (BLRSEC), and Board of Governors (BoG) course, program, and regulation changes, and ensuring that all changes have been approved by the appropriate governance body.

The University Calendar is one of the principal sources of U of A policy information for students and a critical part of the University record. Among other information, it reflects admission requirements, academic regulations, programs of study, academic standards, degree requirements and general University policies for both undergraduate and graduate students. The University Calendar serves as a contract between the institution and the student.

The Office of the Registrar (RO) plays a key role in every aspect of the student experience, from recruitment to graduation and beyond. The RO also supports the broader campus community, including faculties, departments, and other units.
  • Minimum Bachelor's degree required.
  • Advanced level knowledge of Google product suite required.
  • Knowledge and experience with content management systems and databases required.
  • Excellent writing, editing and proofing skills and experience.
  • Excellent communication (oral and written), interpersonal, presentation, and organizational skills.
  • This position is required to have extensive knowledge of the governance system and approvals required for all of the academic programs within the University.

This position is subject to all applicable terms and conditions of the collective agreement between the Governors of the University of Alberta and the Non-Academic Staff Association (NASA).

  • Ensures all University Calendar changes have been approved by the appropriate governance body, are consistent with other policies, procedures, and content standards. Coordinates the development, updating and proofing of approved academic content and other content for publication, and ensures that the University Calendar is ready for publication.
  • Works with the University Secretariat and the Office of the Provost to determine whether
    requests for editorial changes to sections that may require governance committee approvals for are editorial and can be made without formal committee approval. These discussions can be done through email, chat,  or in-person.
  • Accepts, rejects, or suggests revisions for proposed Calendar content based on established policies and communicates those decisions to Faculties and Departments, making the relevant changes to the Calendar catalog management system.
  • Provides advice and assistance to Faculties regarding writing University Calendar copy for proposed policy changes, regarding policy approval procedures and timelines.
  • Reviews the Calendar to isolate stability issues or critical failures, and recommends and implements solutions to stabilize or circumvent the issues.
  • Ensures that there is consistency in the grammar, style, and voice of the Calendar. This is done independently following the University Style Guide and any other requirements set.
