Overview

The Front Desk Coordinator serves as the first point of contact for employees, visitors, vendors, and guests at Jaipur Living's headquarters. This role is responsible for creating a welcoming and professional experience while supporting the day-to-day administrative and operational needs of the office. The Front Desk Coordinator manages the reception area, incoming calls and visitors, mail and deliveries, office supplies, meeting spaces, and other general administrative responsibilities. This position requires someone who is friendly, organized, dependable, and comfortable managing multiple priorities throughout the day.

Essential Duties & Responsibilities:

  • Greet and welcome visitors, vendors, candidates, and employees in a professional and friendly manner.
  • Manage the front desk and reception area, ensuring it remains organized and presentable.
  • Answer and direct incoming phone calls and general inquiries.
  • Coordinate visitor access and notify employees when guests arrive.
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Coordinate outgoing mail and shipments as needed.
  • Maintain conference rooms and common areas and assist with scheduling or preparing meeting spaces.
  • Monitor and order general office and breakroom supplies.
  • Assist with food orders, meeting setup, company events, and employee activities as needed.
  • Provide basic administrative support to the HR and Admin teams.
  • Assist with printing, scanning, filing, document preparation, and other general office needs.
  • Help coordinate vendors and service providers visiting the office.
  • Maintain appropriate confidentiality when handling employee, visitor, or company information.
  • Identify office or facility needs and communicate them to the appropriate team member.
  • Perform other administrative duties and special projects as assigned.

  • Strong organizational skills and attention to detail.
  • Ability to manage multiple requests and changing priorities.
  • Comfortable working independently while supporting multiple departments.

  • Ability to maintain professionalism and confidentiality.
  • Reliable attendance and punctuality are essential due to the front-facing nature of the position.


Physical Requirements:

  • Remaining in a seated position for long periods of time
  • Standing is to remain on one’s feet in an upright position without moving about
  • The ability to alternate between sitting and standing is present when a worker has the flexibility to choose between sitting or standing as needed when this need cannot be accommodated by schedules breaks and/or lunch period
  • Lifting and transporting items that could weight up to 25 pounds
  • Entering text or data into a computer by means of a traditional keyboard
