Job description

Trade Marketing Fulfillment Coordinator

The Trade Marketing Fulfillment Coordinator supports the operational execution of the Trade Marketing department by coordinating the organization, preparation, inventory control, and distribution of POP materials, promotional items, demo kits, uniforms, and sample orders. This role ensures materials are properly managed and delivered on time to support brand activations, trade shows, commercial partner meetings, and field initiatives, while also assisting with reporting and maintaining organized inventory processes. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in both office and warehouse support environments.

Your responsibilities will be:

Trade Marketing Operations Support

  • Support the Trade Marketing team with the distribution and delivery of POP materials, ensuring materials arrive on time and in good condition.
  • Assemble, pack, and ship promotional items, uniforms, samples, and demo kits based on Trade Marketing team instructions.
  • Review promotional materials before shipment to ensure completeness and quality.
  • Assist with the setup and preparation of materials for local trade shows, activations, and meetings with commercial partners.
  • Collect, organize, and return materials from events or activations back into warehouse inventory for reuse or storage.
  • Support additional operational activities required by the Trade Marketing team and supervisor.

Inventory & Material Control

  • Organize, classify, and label POP materials, promotional items, uniforms, coupons, and demo kits by brand to ensure easy identification and efficient distribution.
  • Support the management and control of inventory for Trade Marketing materials stored at the warehouse.
  • Assist with periodic inventory counts and report discrepancies to the Trade Marketing Manager.
  • Work with the Trade Marketing team to maintain organized inventory classification systems by material category and brand.
  • Coordinate with the inventory team regarding the picking and handling of materials or products based on shipment requests.
  • Maintain the work area in proper condition to support packaging, assembly, and operational activities.

Reporting & Administrative Support

  • Process Saba Web sample orders, including shipping labels and tracking numbers.
  • Prepare monthly Saba Web reports.
  • Provide weekly reports to the Trade Marketing Manager on shipments processed from the Mexilink warehouse, including brand, shipment cost, delivery verification, and shipment status.
  • Maintain shipment and inventory tracking records for operational visibility.
  • Analyze packaging and shipping methods to identify opportunities for improving efficiencies and reducing shipping costs.
  • Associate degree or equivalent work experience preferred.
  • 1โ€“3 years of experience in trade marketing support, warehouse coordination, inventory management, administrative operations, or related areas preferred.
  • Experience with shipping platforms, inventory tracking, or sample order systems is a plus.
  • Strong organizational and time management skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong follow-up and communication skills.
  • Proficiency in Microsoft Office, particularly Excel.
  • Ability to work collaboratively across teams and departments.
  • Hands-on approach with the ability to support operational activities as needed.
  • Ability to lift and move boxes, promotional materials, and demo kits as needed.
  • Ability to stand, walk, bend, and organize materials during operational activities.

Physical demands:

The team member must occasionally lift and/or move up to 100 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. While performing the duties of this job, the team member is regularly required to sit and talk or listen. The team member is frequently required to stand and walk. The team member is occasionally required to use hand to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl and taste or smell.

While performing the duties of this job, the team member is occasionally exposed to outdoor weather conditions, extreme cold (non-weather) and extreme heat (non-weather).ย
