ELC Administrative Assistant
Department: Early Learning Center
Reports To: Director of the Early Learning Center
MISSION: Liberty Christian Academy exists to support parents and guardians in their biblical responsibility to nurture and train their children. Thus, LCA provides opportunities which allow students to realize their God-given potential and to live lives that glorify God in the spiritual, academic, social, physical, and vocational realms.
POSITION SUMMARY: Management of the Early Learning Center office, handling of various accounting and attendance responsibilities and other duties as necessary.
POSITION QUALIFICATIONS:
  • Must be a Christ-follower
  • Four-year college degree encouraged, but not required
  • High-school diploma required
  • Must be 18 years of age or older
  • Experience in early childhood education office preferred
  • Excellent verbal and written communication skills
  • Strong organizational skills and problem-solving ability
ESSENTIAL DUTIES AND RESPONSIBILITIES:
STUDENT RECORDS MAINTENANCE
  • Contract/Application Filing
  • Schedule family tours and entrance interviews
  • Class/Student Schedule Changes
  • Withdrawals
  • Collecting required student documentation
  • Maintain and update changes in FACTS
  • File Purging of ELC Graduates Yearly
GREETING/HELPING PARENTS, STUDENTS, AND VISITORS
  • Create, maintain and assist families with family FACTS accounts
  • General Questions
GENERAL OFFICE DUTIES
  • Answering Phones
  • Correspondence
  • Filing
  • Copying
  • Teacher Support (calling parents re: sick children, copies, messages, filing, etc.)
  • Maintain emails lists for individual classrooms and ELC
  • Scheduling transportation requests
  • Master Calendar for room requests and set-up
  • Inventory office supplies and place order as needed
ACCOUNTS PAYABLE
  • Manage Petty Cash
  • Requisition Funds as Needed
  • Create purchase orders
  • Collect and reconcile receipts from ELC purchases.
LUNCH PROGRAM
  • Assist parents with the ordering process
  • Contact cafeteria personnel with updates
  • Gather and distribute lunches
HUMAN RESOURCES
  • Monitor ADP leave requests and follow-up on Ready Sub for securing substitute teachers
  • Contact and schedule substitute teachers as needed
  • Track snow days/early departure days for ELC staff
MEDICAL/MEDICATIONS
  • Assist with gathering medications and medication consent forms from families
  • Assist with administering medications and maintaining medication logs
  • Assist with ill students brought to ELC office

EVALUATION: The ELC Administrative Assistant will be evaluated by the Director/Asst. Director of the ELC each year. This evaluation will be based on the functions and responsibilities outlined in this job description.
