Job description

Summary:

The Tradeshow Warehouse Coordinator is responsible for managing the inventory and logistics process for tradeshow equipment, materials, and event assets. This is a 100% warehouse-based position with no travel required. The ideal candidate will have strong warehouse operations and logistics experience, with the ability to oversee the preparation, packing, tracking, and reconciliation of tradeshow materials. Experience with QAD or similar inventory management systems is highly preferred. This position will work closely with the Tradeshow and Events team to ensure all event assets are accurately maintained and delivered on schedule.

Essential Functions:
  • Manage and maintain inventory of tradeshow equipment, booth structures, graphics, and promotional materials.
  • Ensure accurate tracking and documentation of all incoming and outgoing event assets.
  • Pick, pack, crate, and prepare large or fragile exhibits for domestic and international shipment.
  • Coordinate with freight carriers and logistics partners to support timely delivery of event materials.
  • Inspect returned equipment for damage, complete necessary repairs or maintenance, and update inventory records.
  • Maintain accurate inventory transactions within QAD or other warehouse management systems.
  • Improve warehouse organization, workflow processes, and packing standards to maximize efficiency and protect assets.
  • Maintain a clean, organized, and safety-focused warehouse environment.

Position Requirements:
  • High school diploma or equivalent required.
  • Minimum of 2 years of warehouse operations, inventory management, or event logistics experience.
  • Hands-on experience with QAD or similar ERP/WMS inventory systems preferred.
  • Experience operating forklifts, pallet jacks, and other warehouse equipment.
  • Knowledge of freight shipping processes, bills of lading, crating methods, and international shipping requirements preferred.
  • Strong reading, writing, and basic math skills.
  • Ability to accurately document inventory movement and shipping details.
