Posting Details
The New Mexico Division of Vocational Rehabilitation (NMDVR) is a state-run agency dedicated to assisting individuals with disabilities in achieving employment success. Through services such as vocational counseling, job placement assistance, training and education, assistive technology, and support services, NMDVR aims to enhance the employability and independence of people with various disabilities. Tailoring its programs to meet individual needs, the agency is committed to facilitating competitive employment and fostering independence among its clientele.

Why does the job exist?
Provide executive-level administrative and operational support to the Rehabilitation Services Unit Deputy Directors and associated
leadership. Manage complex scheduling, coordinate meetings and communications across departments, and ensure timely completion of key
tasks such as performance appraisals. Track budget movement and expenditures and process financial and procurement documentation.
Facilitate travel arrangements and reimbursement processes for RSU staff, to include all out-of-state travel which is more complex and is
only assigned to this key position within RSU. Support staff development initiatives, training coordination, and participant engagement.
Serve as a liaison between RSU, and other Division of Vocational Rehabilitation (DVR) Units, and external partners. Lead training and
provide ongoing guidance to administrative staff to promote consistency and efficiency statewide.
How does it get done?
Provide high-level executive and administrative support to RSU Deputy Directors, including calendar management, meeting coordination, and confidential task handling. Coordinate programs and departmental activities, serve as liaison with internal/external stakeholders, and support projects, events, and participant services. Manage fiscal and procurement processes, including budgeting support, vendor coordination, purchase orders, travel arrangements, and financial documentation. Support staff development and training initiatives, including organizing events, coordinating resources, and mentoring administrative staff

The customers of this role are the Rehabilitation Services Unit Directors, Unit Head staff, New Mexico Division of Vocational Rehabilitation agency staff, New Mexico work force partner agencies and Rehabilitation Services Administration.
Ideal Candidate
The ideal candidate for this role would be a highly organized, detail-oriented professional who thrives in a fast-paced, confidential environment and can balance multiple priorities effectively. They should demonstrate strong judgment, professionalism, and the ability to support executive leadership while coordinating across teams. Knowledge of State of NM procurement policies and processes. Experienced in SHARE Financial, Microsoft applications, excel, power point, outlook calendar management.
Minimum Qualification
High School diploma or Equivalency and two (2) years of experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements
Occasional Travel may be required.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
